Informa Markets in Vietnam is seeking for a Senior Event Executive. This position is to provide administrative support and assist in the executing of various event management directed by the Event Manager. This position is to work at Informa Markets in Vietnam under Infrastructure & Utilities portfolio.

PRINCIPAL DUTIES AND RESPONSIBILITIES

1. Database & Research Management

  • Compile, update, and maintain exhibitor, visitor & buyer databases for promotion activities
  • Support to conduct market research and supplement data for current & new launch events
  • Map and prepare data for mailing deployment

2. Group & Buyer Program Management

  • Develop and execute Group & Buyer Program plans, including telesales scripts and proposals
  • Send invitations via email and follow up through designated communication channels
  • Prepare registration links, online/offline invitation letters, and promotional materials

3. Partnership & PR Coordination

  • Identify and engage international organizations/associations for partnership opportunities
  • Negotiate partnership terms, prepare barter contracts, and manage contract offset documentation
  • Coordinate with PR & media partners on pricing and manage partner contracts and payments
  • Follow up on key programs including Opening Ceremony, contests, conferences, seminars, and stakeholder events

4. Sales & Exhibitor Support

  • Support sales team in executing exhibitor promotion activities, side events, and roadshows
  • Provide customer support for agents and assist with pre- and post-show documentation

5. System & Operations

  • Submit and verify event information to ensure system accuracy and readiness
  • Collaborate with Operations team on order processing and payment coordination pre-event and onsite
  • Translate promotional materials between English and Vietnamese

6. Event Marketing & Visitor Promotion

  • Support line manager on event marketing activities and visitor promotion programs by working closely with marketing team

7. Onsite Event Management

  • Set up Site office at the exhibition and manage the front desk to assist Exhibitors with any problems, provide a professional welcome for them, ensure housekeeping, manage petty cash, and assist Operations Department to do verification of orders and other on-site duties.
  • Support Operations Department with order verification and other onsite duties

8. Post-Show Activities & Reporting

  • Handle post-show activities which include thank-you letters to Exhibitors and associations, etc.
  • Prepare and submit exhibitor reports, event reports, and Sustainability - Fundamental Reports in a timely manner

9. Administrative Support

  • Maintain effective and accurate filing systems including archive management
  • Provide secretariat support including meeting coordination, market research, and minutes

10. Other Duties

  • Support other tasks and projects as assigned by Line Manager     

Qualifications

  • Bachelor’s degree in business administration/ marketing/ event management or equivalence.
  • Previous work experience in the event industry would be an advantage.
  • English and Vietnamese fluency both written and spoken.
  • Project management skills: The employee needs to be good at managing time and working to deadlines.
  • Good team player with pro-activeness and self-motivation.
  • Experienced in marketing is a plus
  • Be able to work extended hours and weekends if needed.
