Job Description
The specialist performs the following job duties:
- Planning, coordinating, and managing the work schedule of the Dean of the School of Medicine: organizing external and internal meetings, phone calls, and interviews; maintaining and updating the Dean’s work calendar;
- Tracking incoming documents and correspondence for the School’s leadership and faculty, and ensuring their timely delivery;
- Managing the School’s record-keeping and document flow;
- Preparing and registering official letters in Russian, Kazakh, and English;
- Taking and recording minutes at School meetings;
- Providing administrative support to the School’s faculty regarding the provision of necessary office supplies, software, printed materials, classroom reservations, and technical support;
- Providing logistical support for School events, including the arrival of delegations from the School’s strategic partner university;
- Maintaining records and overseeing the School’s material and technical resources;
- Performing other duties and tasks within the scope of the School’s goals, objectives, and needs.
- To carry out the tasks assigned by the immediate supervisor and the University administration in a timely and proper manner within the scope of one’s job duties and authority;
- To comply with the requirements of the legislation of the Republic of Kazakhstan and the University’s internal documents;
- To be responsible for maintaining labor and work discipline;
- To be responsible for ensuring the integrity of official documents
Requirements:
Knowledge of the Republic of Kazakhstan’s education legislation;
Ability to handle large volumes of information;
Skills in document management and organizing administrative processes;
Analytical skills;
Proficiency in writing;
Fluency in the national language, Russian, and English (spoken and written);
Knowledge of MS Office programs
Qualifications
A professional degree, preferably from a higher education institution where instruction is conducted in English.
Preferred fields of study:
- education administration;
- management;
- public health;
Skills and Abilities:
Communication and organizational skills;
Analytical and critical thinking skills;
Ability to work independently and as part of a team;
Ability to complete tasks within tight deadlines;
Ability to multitask.
