The VP Logistics will be responsible for overseeing and executing the logistical aspects of the Group/Individual Awards Information Session and the Commerce Night Gala.

### Time Commitment
  • Summer and first semester: 11-13 hours/week

  • Second semester (prior to Commerce Night): 14-17 hours/week

  • ### Term of Employment
    May 2026 - March 2027
    ### Main Responsibilities
  • Lead the event procurement process (venue, decor, awards), including sourcing, evaluating, and selecting vendors to ensure best value and alignment with event needs. 

  • Liaise with vendors and the venue’s catering and bar services.

  • Develop and execute a decor vision that elevates the event atmosphere and guest experience, and present design proposals to the Commerce Night team for input.

  • Coordinate ticket sales on ticketing softwares alongside the Commerce Night VP Finance and VP Technology.

  • Create a detailed runsheet and itinerary for Commerce Night, and ensure that it is adhered to on the night of.

  • Coordinate seating arrangements and draft invitations to all guests.

  • Collaborate with the Marketing Portfolio to promote ticket sales and create day-of event graphics (e.g. slideshow, pamphlet, certificates, thank you cards, etc.).

  • Oversee the printing of award certificates and plaques.

  • Collaborate cross-functionally to implement and coordinate logistics for the inaugural Group & Individual Awards Information Session. 

  • Assist with the overall planning and execution of the Group & Individual Awards Information Session and the Awards Night Gala alongside the team.

  • Mentor 2 Logistics Associates, who will be hired in the fall.

  • ### Qualifications
  • Intrinsically motivated with strong organizational skills and attention to detail across multiple moving parts. 

  • Clear, professional verbal and written communication skills to coordinate with vendors and internal teams. 

  • Strong problem solving ability, time management skills, and resilience to adapt quickly to last-minute changes. 

  • Ability to manage timelines, execute under time constraints, and take high levels of ownership. 

  • Proactively anticipate and mitigate potential logistical issues.

  • Basic design sense for decor and event aesthetics. 

  • Previous event planning experience will be considered an asset.

  • ### Anticipated Learning Outcomes
  • Gain strong communication skills from liaising with multiple vendors in the planning process for the Commerce Night Gala.

  • Experience in decision making and event coordination for a large-scale event with 450+ attendees.

  • Strengthen cross-functional collaboration skills by working across all departments to deliver a cohesive event. 

  • Directly shape the Commerce Night attendee experience through decor, seating, and overall event flow. 

  • Build adaptability by responding to real-time challenges and adjusting plans under pressure. 

  • Gain experience promoting and supporting the awards process, including contributing input on evaluation criteria and helping ensure a fair and transparent selection process.
