Job Description
As a Client Service Representative, you'll create a welcoming experience for every client and patient from check-in to check-out. You'll provide exceptional customer service while supporting the veterinary team through scheduling, communication, administrative tasks, and front desk operations.
Key Responsibilities:
- Greet clients and patients with a friendly, professional attitude and ensure a positive visit.
- Answer and direct phone calls, schedule appointments, and confirm upcoming visits.
- Check patients in and out, prepare medical records, and maintain accurate client and patient information.
- Process invoices and payments, including cash, credit cards, checks, and CareCredit transactions.
- Monitor client wait times and communicate updates as needed to provide excellent service.
- Use veterinary practice management software to schedule appointments and maintain records.
- Obtain patient histories, vaccination records, and complete required paperwork.
- Support the veterinary team by directing medical questions to licensed technicians or veterinarians when appropriate.
- Help maintain a clean, organized, and welcoming reception area.
- Assist with training new team members and perform other duties as assigned.

Qualifications
- High school diploma or equivalent required.
- At least 1 year of receptionist or customer service experience; veterinary or medical office experience preferred.
- Strong customer service, communication, and interpersonal skills.
- Excellent organizational, time management, and multitasking abilities.
- Detail-oriented with accurate data entry and recordkeeping skills.
- Proficient with Microsoft Office and comfortable learning veterinary practice management software.
- Ability to operate a multi-line phone system, perform clerical tasks, and process payments.
- Basic knowledge of animal behavior and veterinary terminology, or willingness to learn.
- Strong critical thinking, problem-solving, and decision-making skills.
- Team player with the ability to work collaboratively in a fast-paced environment.
- Compassionate, professional, and passionate about providing exceptional care to pets and their owners.
- Flexible to work evenings, weekends, holidays, and other scheduled shifts as needed.
Additional Information
We offer our staff:
Compensation: $18.00–$21.00 per hour, based on experience.
Shift Differential: Additional shift differential pay is offered for hours worked between 6:00 PM–12:00 AM and 12:00 AM–6:00 AM.
Pre-Employment Requirements: As a condition of employment, candidates must successfully complete a pre-employment physical examination and urine toxicology screening through HealthWorks before becoming eligible for hire.
