This posting is for an Administrative Associate II position in the District I Office. This position serves as administrative support to the District 1 and Resident Engineers’ offices. Duties include but are not limited to preparing documents and correspondence for projects, entering documents, reports, and samples into Microsoft SharePoint and HICAMS, office purchasing and processing invoices, answering calls, scanning files and large plans, filing and maintaining records, assisting the public with any request via email, phone, Contact Us and/or walk-in contact, and other clerical duties assigned by supervisors. This position also will assist with the processing of materials received tickets, driveway permits, road additions/abandonments, and house moves.
Additional Expectations:
Effectively communicate technical knowledge with Engineers, coworkers, and the public. Good communication skills are required in both verbal and written activities. Possess general mathematical skills, significant vocabulary/grammar skills for proofreading correspondence, reports, and other documents. Ability to schedule and coordinate a variety of appointments, meetings, and or conferences. Applicant should be computer literate and possess experience using modern word processing, spreadsheet, email, and internet software, and have the ability to learn and apply DOT computer programs such as SAP, Ariba, SharePoint, and Hicams. Customer service experience (over telephone, personal, and electronic) is also strongly preferred. Candidates should possess excellent composition skills, attention to detail, and need for consistency with data entry and correspondence. Management prefers a candidate with customer service experience and a personable attitude. Must be able to work in an inside environment including being exposed to significant sitting for long periods of time.
Knowledge Skills and Abilities/Management Preferences
Salary Grade and Salary Range: NC02 $31,200 - $51,249
Management prefers applicants with the following:
- Customer service experience, including resolving customer issues.
- Experience with Microsoft Office using programs such as Outlook, Word, and Excel.
- Experience completing and/or maintaining records and reports.
- Experience reviewing detailed documents and records for accuracy and completeness.
- Experience with letter writing, using correct spelling, punctuation, and proofreading.
Minimum Education and Experience

High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
