Job Description

We are looking for an experienced Office Manager to lead the day-to-day workplace operations and deliver seamless, high-quality employee experience. This role goes beyond administration and focuses on operational excellence, stakeholder engagement, compliance, and continuous improvement of the workplace environment.

Key Responsibilities

Workplace Operations & Facility Management

  • Oversee daily office operations to ensure smooth functioning of all workplace services
  • Manage housekeeping, security, front office, and vendor teams
  • Ensure upkeep of office infrastructure, including workspaces, meeting rooms, and common areas
  • Drive high standards of hygiene, safety, and service delivery

Stakeholder Management

  • Act as the primary point of contact for all workplace-related matters across business teams
  • Build strong relationships with internal stakeholders (HR, IT, Finance, EHS, Workplace Leadership)
  • Understand business needs and translate them into workplace solutions
  • Provide regular updates on workplace operations, issues, and improvements
  • Manage expectations and ensure a high level of service satisfaction

Vendor & Service Management

  • Manage and monitor third-party vendors (facility management, transport, cafeteria, etc.) as applicable
  • Track SLAs and ensure consistent service quality
  • Handle escalations and drive timely resolution
  • Support contract management and vendor performance reviews

Landlord & External Coordination

  • Act as the key interface with the landlord/building management for all facility-related matters
  • Coordinate on building services, common area maintenance, utilities, and access control
  • Ensure timely resolution of infrastructure issues impacting office operations
  • Support lease-related coordination, including fit-out guidelines, approvals, and compliance
  • Monitor CAM/CUSA-related services and raise concerns where required

Compliance, Safety & Audits (HSSE)

  • Coordinate and support all workplace, safety, and HSSE audits (internal and external)
  • Work closely with EHS/HSSE teams to ensure adherence to safety standards and regulatory requirements
  • Track audit observations and drive timely closure of action items
  • Maintain documentation, records, and audit readiness at all times
  • Support emergency preparedness, drills, and compliance initiatives

Employee Experience

  • Act as the first point of contact for workplace-related queries and support
  • Ensure a seamless and engaging office experience for employees and visitors
  • Support employee engagement initiatives and on-ground execution of events
  • Drive feedback mechanisms and continuously improve workplace services

Infrastructure & Projects Support

  • Support minor office projects, space reconfigurations, and workplace improvements
  • Coordinate with internal teams (IT, EHS, HR) for smooth execution of initiatives
  • Assist in office expansions, moves, and transitions

Cost & Budget Management

  • Track operational expenses and support budget adherence
  • Identify opportunities for cost optimization without compromising experience

Qualifications

  • 7–12 years of experience in workplace/facilities/office management
  • Experience managing large corporate offices and multiple vendors
  • Exposure to compliance, safety, and audit coordination (HSSE/EHS)
  • Prior experience in landlord/building coordination preferred
