We are looking for an organised, detail-oriented Project Administrator to join an Australian builder. You will provide essential administrative and financial support to a residential building practice, helping to keep jobs moving efficiently from tender through to completion.
Key Responsibilities
- Process and verify supplier and subcontractor invoices, flagging discrepancies, duplicate charges, or unusual amounts before payment is approved
- Draft job quotes and proposals based on project specifications and builder direction
- Assist with estimating and quantity takeoffs under the supervision of a qualified estimator
- Prepare and submit credit applications, supplier account forms, and other project-related documentation
- Maintain and update project trackers, job files, and cost records
- Liaise with suppliers, subcontractors, and clients on administrative matters as required
- Support general ad hoc administration across active projects
What We Are Looking For
- Experience with Buildertrend and/or Xero is highly regarded
- Previous experience in a project administration, accounts, or estimating support role within the Australian construction or building industry
- Familiarity with construction invoicing, progress claims, and cost tracking
- Strong attention to detail, particularly when reviewing financial documents
- Ability to work independently and manage competing priorities across multiple projects
- Proficiency in Microsoft Office, Google Workspace, and accounting or job management software
Requirements
- Bachelor's degree in Civil Engineering or a related discipline
- Exposure to estimating software or takeoff tools
- Willingness to explore and use AI tools to improve workflow efficiency
- Excellent written and verbal communication skills
- Proactive attitude - able to follow up suppliers, clients, and third parties without being prompted
