The Apprentice Operational Administrator will provide administrative support to the Operations Team to enhance efficiency and effectiveness of day-to-day operations. This role will involve updating the daily work schedule, administrative processes, maintaining accurate records, provide holiday cover for Statutory Undertaker Information provision and communicating professionally with internal and external stakeholders.

The apprentice will undertake the Business Administrator Level 3 Apprenticeship at Suffolk New College combining workplace learning with off-the-job training to develop essential business and administrative skills.

Key Responsibilities:

  • Provide general administrative support to the Operations Team.
  • Manage Field Service, in house operations scheduling system, to ensure it is updated daily
  • Assist with answering incoming calls through the telephone system and ensuring enquiries are handled or directed appropriately.
  • Support the production of Operations reports and associated documentation.
  • Assist in maintaining documentation required for ISO compliance.
  • Provide administrative support for site facilities as required.
  • Liaise professionally with internal colleagues and external contacts.
  • Support in collating Statutory Undertaker Information Record packs.
  • Help produce project packs and RAMS.

Requirements

Experience & Knowledge

  • No previous professional experience required – full training will be provided
  • Basic experience using spreadsheets and processing information online and on paper
  • Familiarity with Microsoft Office applications (Word, Excel, Outlook and Teams)
  • Confident communicating by telephone, email or face‑to‑face (e.g. through school, college, work experience or volunteering)
  • A general awareness of office administration or business processes (desirable)

Qualifications & Additional Requirements

  • Right to work in the UK
  • GCSEs (or equivalent) in English and Mathematics at grade 4/C or above
  • Full UK driving licence, or working towards obtaining one
