Medical Student Coordinator at McLean HospitalSummary
The Medical Student Coordinator supports the administration and delivery of the psychiatry clerkship and related medical student educational programs at McLean Hospital. This role serves as the primary liaison between medical students, McLean faculty, and the clerkship and associate clerkship site directors, ensuring smooth onboarding and offboarding of medical students and coordinating their educational activities. The coordinator helps ensure an organized, supportive, and well run learning environment for both Harvard Medical School students and visiting medical students from other institutions.
This is a 50% time position. With the exception of two half-days every four weeks to both prep for and help with student orientation,, the majority of the work for this role can be performed remotely.
Essential Functions
• Coordinate onboarding processes for Harvard Medical School students and visiting students from other medical schools rotating through the clerkship.
• Complete pre rotation paperwork, including hospital credentialing, EMR access, required trainings, and institutional compliance documentation with medical students before arrival on the rotation
• Provide orientation materials and ensure students understand expectations, schedules, and learning objectives for the rotation.
• Coordinate and help facilitate the monthly in person orientation session for incoming medical students.
• Coordinate with hospital departments (e.g., HR, IT) to ensure timely access to clinical systems and hospital facilities.
• Organize and maintain rotation schedules, including student assignments to clinical units or services.
• Coordinate teaching schedules and educational sessions with McLean faculty and clerkship leadership.
• Serve as the primary administrative point of contact for students throughout their rotation.
• Troubleshoot scheduling or logistical issues that arise during rotations and direct students to appropriate faculty leadership when needed.
• Track completion of required evaluations and assessments from faculty and residents.
• Provide administrative support (e.g. booking rooms), to McLean faculty members overseeing courses for other medical student activities outside of the clerkship (such as the Mind Brain Behavior or Psychopathology Harvard Medical School course)

Qualifications
Education
High School Diploma or Equivalent required
Can this role accept experience in lieu of a degree? No
Experience
- Experience in academic medicine, medical education administration, or healthcare program coordination preferred.
Knowledge, Skills, and Abilities
- Strong organizational and administrative skills.
- Ability to manage multiple deadlines and coordinate complex schedules.
- Ability to clearly communicate via email and other written formats.
- Proficiency with Microsoft Office.
- Ability to work collaboratively with faculty, trainees, and other department staff.
- Attention to detail and strong problem‑solving abilities.
- Commitment to providing responsive and student‑centered support.
Additional Job Details (if applicable)
This position is hybrid whereby you are required to come into the office twice a month. The coordinator is expected to help with orientation in person at the McLean Belmont campus (usually 8am to 12pm that day). An additional day is required to prepare for orientation the week before.
