Duties & Role:
This project coordinator post will be supporting project managers, colleagues and line management by organising, tracking, and facilitating project activities to ensure timely and efficient project completion for our wide variety of Customers both in Brunssum and our wider Area of Responsibility.
You will manage timelines, oversee administrative tasks, and collaborate with team members aswell as wider NCIA teams, Customer POCs and external companies to ensure projects meet milestones and deliverables.
Duties:
- Assisting in creating project timelines, tracking milestones, and updating planning schedules alongside internal colleagues and our Customers to reflect progress.
- Coordinating the availability of personnel, equipment, and materials required for project execution.
- Acting as a central point of contact between project managers, team members, line management, customer and sometimes external vendors; facilitating meetings and ensuring clear communication
- Maintains Project documentation and producing required reports
- Identifying potential delays or risks, documenting roadblocks, and assisting in developing contingency plans
- Administrative tasks related to handling scheduling, logistics, and project management activities via software tools such as Microsoft Project, ServiceNow and EBA.
Specific Working Conditions: Work location may include other sites with our GAoR in NL & DE, which is why time on site in Brunssum is indicated at 80 %
Requirements
Skills, Knowledge & Experience:
- The candidate must have a currently active NATO SECRET security clearance
- This is a dynamic role and the successful candidate should have previous hands-on operational experience, not just office based remote management and coordination of Projects at Strategic/ Program level.
- The successful applicant must have previous and recent experience (within the last 3 years) as a Project Coordinator/ Project Manager – not Program Management level.
- Hands on Project Planning and Scheduling
- Previous experience of Resource (personnel, equipment and materials) Management
- Clear communication skills and experience of Stakeholder Engagement:
- Hands on experience of maintaining Project documentation and producing required reports
- Experience of documenting and identifying Risk and Issue Management
- Broad experience of administrative Support within ServiceNow or other Project Management supporting tools
- 5-10 years of experience in project coordination or related roles.
- Proficiency in Microsoft Office, project management software, and scheduling tools.
- Excellent communication skills, problem-solving abilities, and strong organizational and time management skills.
- Must have experience of multi-national, multi-cultural working environments.
- Working in a miliary or a mixed military/ civilian working environment will be advantageous
- Required Certification: Professional certification in Project management certification is required:
- Prince II foundation is a requirement; practitioner useful.
