Role Purpose

This role exists to keep Swedish clinic coverage accurate and dependable, turning staffing plans into rotas that protect service levels for members. Working inside Operations Planning, the Workforce Coordinator owns rota governance for assigned clinics and uses the workforce management system and automation to cut manual admin, freeing clinic leads to focus on care (Tech-Enabled, Human-Centred).

What You'll Deliver in the First 6-12 Months

  • Publish accurate, on-time bi-weekly or monthly rotas for all assigned Swedish clinics, resolving late changes and backfills without service disruption (Member-First, Always).

  • Cut recurring coverage gaps through daily tracking and proactive escalation to bank pools and agency partners before they become risks.

  • Configure and maintain automations in Quinyx that measurably reduce manual scheduling admin (Tech-Enabled, Human-Centred).

  • Deliver weekly staffing packs, coverage percentage, overtime, utilisation, that clinic leadership can act on without rework.

  • Keep HRIS, payroll, and WFMS data synchronised, reducing payroll queries tied to timesheet errors.

Minimum Qualifications

  • Scheduling or rota coordination, clinic operations, or workforce administration experience

  • Comfortable in Excel, filters, lookups, pivot basics, conditional formatting, able to analyse CSVs and spot anomalies.

  • Hands-on experience with a WFMS or scheduling system such as Quinyx, Deputy, UKG, or Rotageek, or a strong appetite to learn one fast.

  • Excellent written and verbal communication in English.

  • Comfortable owning last-mile admin that keeps rotas accurate under time pressure.

Preferred Qualifications

  • Experience in multi-site healthcare or shift-based operations.

  • Direct hands-on experience with Quinyx specifically.

  • Exposure to automating manual workflows using AI or scripting tools.
