About the role: 

Reporting to the Senior Program Lead, the Administrative Assistant, Facilities will be responsible for providing administrative assistance, security and facilities support to the Facilities Team.  

To be successful, we are seeking a candidate who demonstrates proactive problem solving, remains adaptable under pressure, effectively prioritizes and manages time, exhibits strong interpersonal skills, and upholds strict adherence to established policies and procedures.

  • ### In this role you will:
  • Maintain building‑specific email lists, greet visitors and contractors, manage incoming calls, receive mail/freight, and keep the Administrative Manual current
  • Renew recurring POs for leases, utilities, and other ongoing services
  • Add/remove employees in Lenel board, coordinate Service Desk actions, and issue key cards
  • Manage accommodation bookings, schedule units based on operational needs, coordinate accounting charges, liaise with Property Manager on repairs/cleaning, and distribute tenant maintenance notices
  • Order general office supplies and maintain cabinet stock
  • Produce work orders, support building/parking maintenance, and enter requests for repairs such as lighting, snow removal, or sanding
  • Review and file P2W and GCOM submissions
  • Track lodge occupancy forecasting, record office occupancy counts, assist with work order follow‑up, track EVR lodge users, save ATCO invoices, complete monthly accruals, and update PO entries in Facilities budget spreadsheets
  • Other duties as assigned by the Facilities team

    • High school diploma, administrative professional diploma, or have previous office administrative experience
    • Minimum 5 years of experience in facilities administrative assistant roles  
    • Advance computer application skills and experience with Microsoft office, excel word and SharePoint
    • Strong typing and data entering skills
    • Valid Class 5 Driver’s License or equivalent 

    Salary range: 59,000 - 73,000 CAD /year


    The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
