Accountabilities:
Team Leadership & Management
- Lead, mentor, and develop a team of two admin professionals, ensuring clear goal-setting, regular performance feedback, and professional growth opportunities
- Allocate workload effectively across the team to optimize productivity and maintain balanced capacity
- Conduct regular team meetings to align priorities, address challenges, and foster collaborative problem-solving
Operational Excellence
- Oversee and ensure timely execution of all administrative processes and workflows within the team's scope
- Establish and maintain quality standards for administrative deliverables and service levels
- Identify process improvement opportunities and implement solutions to enhance efficiency and effectiveness
- Provide comprehensive administrative support to the GFM Europe team, including tool support (PPMCAPEX…etc.) and assistance with Purchase Order (PO) creation as needed
Stakeholder Management
- Act as primary point of contact for administrative matters, managing relationships with internal stakeholders and external partners
- Anticipate and address stakeholder needs proactively, ensuring high levels of satisfaction
- Escalate critical issues appropriately and provide timely resolution
Planning & Coordination
- Develop and maintain team schedules, priorities, and project timelines to meet organizational objectives
- Coordinate cross-functional administrative activities and ensure seamless integration with broader business operations
- Monitor progress against goals and adjust plans as needed to ensure successful outcomes
Resource & Budget Oversight
- Monitor administrative budget allocation and monitor expenditures to ensure fiscal responsibility
- Ensure appropriate tools, systems, and resources are available to support team performance
Qualifications
- Previous experience with administrative duties
- People management
- Fluent in English
- Excellent communication skills, with both internal customers and external suppliers
- Able to plan and organize work to meet deadlines whilst maintaining some flexibility to manage changing demands.
- Computer literate with a Concrete knowledge of Microsoft office tool
