As an Equipment Coordinator, you will serve as the central point of contact for the entire equipment order lifecycle. This role bridges the gap between international vendors, internal sales teams, and finance partners to ensure accurate purchasing, seamless logistics tracking, and successful order fulfillment.

Core Responsibilities

1. End-to-End Order Management & Procurement

  • Manage the complete sales order and purchasing workflow, ensuring 100% accuracy in quotes, purchase orders (POs), and billing.
  • Review pricing, terms, and specifications before finalizing procurement requests.
  • Oversee financial profitability on orders, verifying cost margins and identifying discrepancies.

2. Stakeholder Coordination & Vendor Relations

  • Act as the primary liaison between sales departments, international suppliers, and finance teams.
  • Build and maintain strong communication channels with global vendors to expedite orders and resolve issues.
  • Coordinate with finance partners to ensure seamless invoicing and payment alignment.

3. Tracking & Logistics Support

  • Monitor shipping schedules, delivery timelines, and equipment installation dates.
  • Maintain real-time data accuracy within internal systems (CRM, Basecamp) to keep all departments updated on order status.
  • Note: This involves administrative logistics tracking and coordination, not physical warehouse or inventory management.

4. Problem-Solving & Claims Management

  • Proactively manage vendor claims, returns, or equipment defects.
  • Troubleshoot delivery delays, shipping errors, or billing discrepancies with a high sense of urgency and conflict-resolution skills.

Requirements

  • Education: Bachelor's degree in Business Administration, International Business, or related fields.
  • Experience: 2+ years of experience in purchasing, procurement, order processing, or corporate sales support. (Experience working with the US market or international clients is highly preferred).
  • Language Skills: Advanced English level (C1), with excellent verbal and written communication skills to negotiate with global stakeholders.
  • Key Competencies: High attention to detail, advanced problem-solving, strong organizational skills, and the ability to multi-task under pressure.

  • Not a Sales position: There are no commercial targets, cold calling, or client acquisition involved.
  • Not a Logistics/Heavy Ops role: It does not require managing physical dispatch, warehouses, or transport fleets. It is a 100% administrative and procurement-focused position.
