Job Description
As a Weekend Staffing Coordinator, you will support weekend operations by managing caregiver schedules, responding to urgent staffing and service needs, assisting with visit verification and system support, and resolving issues that arise in real time. You serve as the primary coordination point for caregivers and clients during weekend hours, ensuring continuity of care.
This role requires sound judgment, strong customer service, and the ability to make independent decisions when situations are urgent and support from other departments may be limited. Success depends on staying calm under pressure, prioritizing effectively, and ensuring clients receive uninterrupted care.
WHAT YOU WILL DO:
- Scheduling & Coverage Coordination: Manage caregiver schedules, fill open shifts, coordinate changes, and respond to call-offs or urgent staffing needs to ensure continuity of care.
- Caregiver & Client Support: Serve as the primary point of contact during weekend operations, providing updates, addressing concerns, and communicating scheduling and service changes with timely follow-through.
- Service Systems Support: Assist caregivers with visit verification, mobile app issues, scheduling questions, and documentation needs to ensure accurate service tracking.
- Incident Response & Escalation Management: Respond to service disruptions, caregiver or client concerns, safety issues, injuries, and unexpected situations, ensuring timely documentation and escalation when needed.
- Operational Documentation & Communication: Maintain accurate scheduling records, document service changes, facilitate shift handoffs, and communicate critical updates to internal teams.
Qualifications
MUST HAVE:
- Education: High school diploma or equivalent.
- Language Skills: Bilingual (Fluent English and Spanish).
- Microsoft 365 Proficiency: Advanced Microsoft 365 skills (Excel, Word, PowerPoint, Teams, SharePoint)
NICE TO HAVE:
- Healthcare & Care Experience: Experience in home care, healthcare, staffing, or caregiver support environments.
- High-Volume Coordination Experience: Experience in phone-based, high-volume scheduling or customer service environments requiring real-time prioritization and response to urgent needs.
- Healthcare Systems & Scheduling Platforms: Experience using MatrixCare or similar scheduling, workforce management, or care coordination systems.
Additional Information
SKILLS CRITICAL FOR SUCCESS:
- Customer-First Mindset: Provides responsive, respectful, and solution-oriented support to caregivers, clients, and families while building trust through clear communication and consistent follow-through.
- Independent Judgment & Decision Making: Makes sound real-time decisions with limited immediate support, prioritizing effectively and escalating when appropriate.
- Organization & Prioritization: Manages multiple concurrent tasks while maintaining accuracy and responsiveness.
- Urgent Response & Calm Under Pressure: Stays composed in crisis-driven situations and responds quickly to urgent staffing needs and service disruptions.
- Emotional Intelligence & Boundaries: Balances empathy with professionalism in sensitive conversations while maintaining appropriate boundaries.
- Reliability & Accountability: Takes ownership of responsibilities and ensures consistent follow-through in a weekend environment.
WHY YOU'LL LOVE THIS ROLE:
You will play a critical role in ensuring weekend continuity of care for clients and caregivers. Each day brings new situations, problem-solving opportunities, and the ability to directly impact service delivery when support is most limited.
You’ll join a collaborative team that values initiative, communication, and accountability, where your work has visible impact every shift and no two days are the same.
