Job Description
- Answer, screen and forward a high volume of calls and maintain a rapid response rate according to agreed standards.
- Take and deliver messages accurately and timeously.
- Order and maintain relevant office supplies for effectiveness of personal duties.
- Establish and maintain effective working relationships with co-workers, supervisors, and the general public.
- Maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to relevant health and safety procedures.
- Responsible for all Travel Arrangements such as flights, car hire and accommodation, for all John Crane South Africa personnel, in line with authorization procedure.
- Obtain Momentum Medical Aid International Travel documents for all employees’ international travel, where necessary.
- Organizational ability – arranging events, meetings, conferences locally and internationally.
- Attending conferences as an assistant to the GM
- Taking minutes at management and other critical meetings
- Arranging refreshments and lunches for visitors
- Answering calls and liaising with clients competently
- Preliminary drafting of correspondence on behalf of the GM
- Calendar and diary management
- Conducting research
- Preparing presentations
- Coordinate and consolidate weekly/monthly/annual reports
- Managing and reviewing filing and office systems, including SAP control file.
- Typing documents
- Managing ad-hoc projects
- Overtime worksheets consolidate for approval
- Follow through on signatures for Capex.
- Present documents for signature.
- Any other reasonable request from the manager.
Qualifications
- Minimum: Matric certificate
- Minimum of 5 years’ experience at executive management assistant level
- Ideal: Business Administration degree (or studying towards a public relations or business administration degree) is advantageous.
- High level of Computer Literacy
- Expert knowledge of MS Word, Excel and PowerPoint
- Extensive knowledge of travel, meeting and conference arrangements
