Weâre looking for a Receptionist to join our Operations team in Montreal. You will serve as the first point of contact for the company and play a key role in creating a positive experience for employees, visitors, and external partners. You will be responsible for supporting the smooth day-to-day operations of the office by providing professional, efficient, and welcoming service, while coordinating a variety of administrative, logistical, and employee experience activities.
What youâll be doing:
Welcome employees, visitors, and guests, ensuring a professional and friendly experience.
Manage visitor access, including issuing visitor badges/tags and maintaining visitor records.
Handle inquiries from visitors, employees, and external stakeholders, including difficult or escalated situations.
Manage incoming and outgoing mail, courier shipments, and package distribution.
Coordinate shipping requests and liaise with courier providers.
Order and manage office supplies, pantry items, and food services.
Coordinate internal office communications and announcements for the Montreal office.
Manage parking allocations and records for onboarding and offboarding employees.
Reconcile monthly parking invoices and maintain accurate records.
Oversee access control processes, including badge management and employee access requests.
Coordinate employee engagement initiatives such as birthday treats and celebrations.
Manage and update operational tickets, ensuring requests are properly assigned and followed through to completion.
Provide meeting room booking support and assistance with scheduling requests.
Support office operations and administrative activities, and other related tasks as required.
What you need to bring:
Previous experience in a receptionist, front desk, office coordinator, workplace experience, or administrative support role.
Experience interacting with visitors, customers, and employees in a professional environment.
Experience managing multiple priorities in a fast-paced workplace.
Experience with office administration, scheduling, and coordination activities.
Experience using ticketing systems and office productivity tools is an asset.
Bilingual proficiency in French and English.
As a global company with employees and clients outside of Quebec, fluency in English as a working language is required for this position.
