About The Role

We are seeking a detail-oriented and systems-minded Recruiting Operations Specialist to join our Talent Acquisition team. This role is the operational backbone of the recruiting function – owning the buildout and ongoing optimization of our ATS, supporting active recruiting and strategic projects prioritized with the team (focus varies – e.g., employer branding, candidate experience). The ideal candidate brings deep hands-on experience configuring talent acquisition systems, a process-design mindset, and the ability to translate recruiter pain points into clean, functional solutions. This is a hybrid position requiring 3 days in office at our HQ in Soho, NYC.

Responsibilities

HRIS & ATS System Buildout

  • Lead the end-to-end configuration and buildout of the HRIS and ATS platforms to support the full talent acquisition lifecycle.
  • Design, document, and implement standardized recruiting workflows within the system, including job requisition approval, candidate stages, offer management, and new hire handoff to onboarding.
  • Build and maintain system integrations between the ATS, HRIS, and adjacent tools (e.g., LinkedIn, background check providers, HRIS modules).
  • Partner with HR, Finance, and IT stakeholders to ensure data flows, permissions, and system architecture align with business requirements.
  • Serve as the primary system administrator for recruiting platforms—managing user access, configuration updates, and troubleshooting.

Process Design & Optimization

  • Map current-state recruiting processes and identify gaps, redundancies, and automation opportunities.
  • Build and maintain a library of standardized recruiting templates, scorecards, and workflow documentation.
  • Develop and enforce data hygiene standards and ensure consistent use of the ATS across the recruiting team.
  • Create and maintain SOPs for all key recruiting operations processes.

Reporting & Analytics

  • Build and maintain recruiting team reporting covering pipeline health, source effectiveness, offer acceptance rates, and recruiter capacity.
  • Translate data into actionable insights for the TA leadership team and business partners.
  • Ensure data integrity across all reporting by establishing consistent data entry standards.

Talent Acquisition Team Activities

  • Contribute to top priority strategic projects, driven and evolved by recruiting team members (e.g., employer branding, enhanced candidate experience, process improvement).
  • Execute moderate talent acquisition workload (~5-7 open roles) by partner with hiring managers to understand team needs, execute targeted sourcing, conduct candidate screens, and shortlist highly qualified candidates.
  • Facilitate candidate assessments, translate hiring team feedback into actionable insights, and coordinate interview schedules between candidates and hiring managers.
  • Build and maintain a pipeline of potential candidates for current and future job openings.
  • Establish a positive candidate experience by providing timely updates, constructive feedback, and prompt responses to inquiries.

Requirements

  • 3 - 5+ years of experience as a talent acquisition associate, talent acquisition coordinator or related role.
  • Hands-on ATS build-out experience required – candidates must have configured or maintained an enterprise ATS (Workday, Greenhouse, Rippling, or Lever strongly preferred).
  • Experience designing recruiting workflows, approval chains, stage configurations, and automation within an ATS environment.
  • Demonstrated ability to build recruiting reports; comfort with ATS/HRIS reporting modules and Excel.
  • Interest and excitement to drive strategic projects forward – e.g., employer branding initiatives, candidate experience redesigns, or structured interviewing programs.
  • Strong process and systems thinking; able to translate ambiguous problems into structured, scalable solutions.
  • Excellent written and verbal communication skills; able to train and influence non-technical stakeholders including hiring managers and senior leadership.
  • Ability to manage multiple concurrent projects with minimal direction.
  • A self-starter mindset with a bias toward action, documentation, and continuous improvement.
