Job Description
We’re looking for a Compliance & Systems Coordinator to support our laboratory operations across multiple sites. This role is ideal for someone who enjoys a mix of compliance & systems and wants to make a real impact on how sites operate safely and efficiently. In this role, you’ll work closely with site teams to keep compliance on track and support operational improvements with a focus on digitisation.

Responsibilities include however, not limited to:
- Support onsite laboratories’ conformance and compliance requirements under SGS policies and site-specific requirements, while analysing business processes, documenting system requirements and coordinating system improvements that support laboratory operations, reporting, workflow control and digital compliance.
- Work with onsite laboratory managers and business users to identify inefficiencies, recommend practical system functionality, support Power BI/Power Automate and digital record solutions, and assist with the implementation of new onsite laboratory projects.
- Periodic site visits to ensure systems, procedures and controls are implemented effectively.
- Work with onsite laboratory managers, business users and stakeholders to formulate and document business and system requirements for compliance, reporting, workflow and laboratory systems.
- Identify, investigate and analyse business processes, procedures and work practices across onsite laboratories to identify inefficiencies, manual workarounds and system improvement opportunities.
- Evaluate existing ICT systems, digital records, LIMS/LMS processes, databases, Power BI dashboards and Power Automate workflows, and recommend system functionality and behaviour to meet user needs.
- Develop functional specifications, process maps, business rules and system requirements for system enhancements, automation, reporting and digital compliance solutions.
- Use data and process modelling techniques to create clear system specifications for the design, configuration and modification of business systems, dashboards and workflows.
- Consult with users, system owners and technical support providers to design improvements to the functionality, usability and integrity of applications, databases, dashboards and workflow automations.
- Develop project plans and coordinate resources, timelines, risks and implementation activities for business systems, compliance digitisation and new onsite laboratory projects.
- Take responsibility for deploying functional solutions, including configuring/adopting system changes, creating and supporting test plans/UAT, validating data integrity and ensuring acceptable system quality.
- Use Power BI and Power Automate to develop dashboards, automate data collection and analysis, reduce manual tasks and enable site managers to monitor KPIs and meet deadlines.
- Create user guides and training documentation, and conduct training for site management and staff in online systems, digital filing, LMS/LIMS-related processes and reporting tools.
- Act as a central reference and information source for onsite laboratory systems projects, providing guidance and decision support to managers and users.
- Maintain digital records, access controls and migration of paper-based records into digital platforms where feasible, ensuring auditability and controlled filing.
- Develop and maintain compliance schedules, procedures and reporting mechanisms covering business processes, SGS policies and site-specific requirements.
- Maintain chemical, equipment, maintenance/calibration, classified plant and staff compliance records/registers through controlled systems.
- Conduct approximately five days per month of site visits to review system adoption and compliance, observe operations, gather requirements, support implementation and share best practices across sites.
Qualifications
The ideal candidate will have:
- Professional qualifications in computer science, information systems, business systems, ICT or a related discipline.
- Professional qualifications in chemistry or related discipline (desirable)
- Experience as an ICT Business Analyst, Business Systems Analyst, Systems Analyst, Project Coordinator or similar role involving business requirements, process analysis, system implementation and stakeholder engagement.
- Demonstrated experience with Power BI, Power Automate, dashboards, workflow automation and operational reporting.
- Experience documenting functional requirements, process maps, user guides, training materials, test plans and user acceptance testing.
- Sound understanding of business applications, databases, digital document control, access control and data integrity principles.
- Competent in using CCLAS LIMS and/or LMS platforms (desirable)
- Knowledge of Quality Systems, including ISO 9001, and experience in laboratory or chemical environments (desirable).
