What You'll Do:
The Benefits Administrator is responsible for the day-to-day administration and operational ownership of the employee benefits programs. This role serves as the primary point of contact for benefits vendors and the organization’s broker, ensuring benefits are delivered accurately, efficiently, and in compliance with regulatory requirements. This role combines employee support, case management, vendor coordination, and systems troubleshooting to ensure a seamless benefits experience.
This position plays a critical role in supporting employee experience by ensuring timely issue resolution, clear communication, and strong operational execution across all benefits processes. The ideal candidate brings experience supporting a multi-state and rapidly growing organization, with a strong understanding of varying state-specific benefits regulations, leave requirements, and compliance obligations.
Benefits Administration & Execution
- Administer employee benefits programs, including health, dental, vision, life, disability, retirement, and ancillary benefits
- Manage enrollments, life events, benefits and eligibility changes
- Own intake, triage, and routing of all benefits-related inquiries, ensuring employees are directed to the appropriate internal or external resource (e.g., broker/member support, carrier, HRBP) while maintaining accountability for resolution
- Ensure accuracy of benefits data, payroll deductions, and carrier feeds; resolve discrepancies
Vendor & Broker Relationship Management (Primary Ownership)
- Serve as the primary liaison with benefits broker and carriers, managing day-to-day communication and issue resolution
- Maintain relationships and system access to all carriers and to ensure proper utilization
- Coordinate vendor deliverables, including reporting, audits, renewals support, and documentation
Workers’ Compensation Administration
- Oversee administration of workers’ compensation claims, including intake, tracking, and coordination with third-party administrators and carriers
- Partner with Human Resources Business Partners, managers, employees, and vendors to ensure timely reporting, documentation, and claim resolution
- Monitor claim activity, trends, and costs; escalate risks and compliance concerns as appropriate
- Coordinate return-to-work processes and ensure alignment with leave and accommodation workflows
- Maintain accurate records and documentation to support compliance, audits, and reporting requirements
Leave of Absence Administration
- Administer and coordinate all employee leave programs, including Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA) accommodations, short-term disability (STD), long-term disability (LTD), paid parental leave, military leave, and applicable state and local leave programs
- Serve as the primary point of contact for employees, managers, HR Business Partners, and leave vendors regarding leave eligibility, requirements, documentation, and return-to-work processes
- Partner with HR Business Partners and leaders to facilitate interactive accommodation processes and ensure appropriate workplace accommodations are implemented when applicable
- Coordinate return-to-work planning, fitness-for-duty documentation, and benefits continuation processes in partnership with employees, managers, Payroll, and Human Resources
Reporting & Systems (HRIS/Payroll)
- Pull and analyze benefits and payroll reports from our HRIS system (Dayforce) to support reconciliation, audits, and decision-making
- Partner with Payroll to ensure accurate deductions and benefits integrations
Program & Operational Support
- Coordinate stop loss invoicing and documentation tracking
- Manage tax-advantaged benefit account setup and vendor coordination, including HSA, FSA, and dependent care accounts
- Provide support for 401(k) inquiries and vendor coordination as needed
Open Enrollment & Communications
- Lead operational planning and execution of open enrollment
- Coordinate benefits communications, including monthly updates and newsletters in partnership with internal teams
Compliance, Calendar & Audit Support
- Coordinate and support required regulatory filings and reporting (e.g., ACA reporting, Form 5500, nondiscrimination testing), ensuring accuracy and timeliness
- Own and maintain the benefits compliance calendar, ensuring deadlines are tracked and met
- Support internal and external audits by preparing documentation and tracking deliverables
- Ensure compliance with applicable federal, state, and benefits regulations
People / HR Team
- Serve as a trusted advisor and collaborative partner to the People/HR team and other benefits team members
- Partner closely with HR, Payroll, Talent Acquisition, and operational leaders to ensure seamless benefits administration and support
- Support a service-oriented, team-focused culture through strong communication, responsiveness, and collaboration
- Performs all other duties as assigned

What You'll Bring:
- High school diploma or equivalent
- 3–5 years of experience of benefits administration experience
- Experience supporting benefits administration in a multi-state and/or rapidly growing organization
- Strong knowledge of federal and state benefits regulations and compliance requirements, including ACA, COBRA, ERISA, HIPAA, FMLA, and state leave laws
- Experience with HRIS Systems and benefits reporting
- Strong understanding of benefits administration and compliance processes
- High attention to detail with strong follow-through and organization
- Experience working with benefits brokers and carriers
- Working knowledge of 401(K) plans and employee questions
