Position Overview
Apex Skin is a rapidly growing skincare facility that empowers employees to deliver exceptional patient experiences. We are currently looking for a talented candidate for the role of Mohs Clinical Coordinator. The Mohs Clinical Coordinator is responsible for maintaining and overseeing the daily clinical flow of the practice and the office operations in lieu of the Practice Manager being onsite.
This is an hourly, non-exempt position. This position requires legal authorization to work in the US.
Schedule
- Full-time, Monday through Friday [5 days per week]
Essential Functions:
- Multi-unit responsibility
- Coordinates daily huddles with office team.
- Along with the Mohs Manager, serves as the “main clinical contact” to all providers.
- Manage Employee schedules and troubleshoot scheduling conflicts as they arise.
- Weekly processing of employee timecards and managing employee attendance.
- Performance management with staff through open communication and honesty to all employees.
- Resolution of patient issues, and communication of issues to Mohs manager.
- Represent Apex in the community, nurture referral sources, participate in other marketing and advertising efforts to support office and enterprise growth
- Strong communication skills in developing strong working partnerships with the Mohs Surgeons.
- Strong communication skills in developing strong working partnerships with management in Mohs Surgery clinics.
- Provides immediate support and education on policy, procedures, equipment, and supplies.
- Serves as a liaison and communicates regularly with the Mohs Manager.
- Monthly/quarterly meetings with leadership team as needed.
- Performs and oversees all Mohs surgical assistant responsibilities as requested in accordance with Apex policies and procedures.
- Supervises daily workflow of clinical staff and ensures that patient flow is smooth and satisfactory.
- Provide feedback on scheduling efficiencies by working with the clinical leads to understand the providers scheduling preferences (smart scheduling)
- Oversees and maintains efficient levels of medical supplies. Order medical supplies for the office.
- Over sees that all necessary documentation is completed in all provider lab/pathology books/messages/desk work is addressed in a timely manner.
- Ensures that all clinical staff comply with all OSHA and HIPAA policies.
- Promotes and inspires a positive work environment.
- Staff development in partnership with management through clear communication both verbally and written if need be.
- Coordinates training of newly hired MA’s, if not training the MA follow up with the trainer, trainee and Provider weekly to ensure training is going smoothly. Be sure to have the clinical training sheet completed and signed by both the trainer and trainee.
- Maintain/Assign weekly duties on the Task Board, as needed.
- Ensure all voicemails, telephone encounters, labs, and documents are completed within a timely manner. Assist with these duties when there is down time.
- Ensure MIPS dashboard numbers are kept at 9 or above. Monitor patient charts daily for each Provider in your office to ensure MIPS is being documented correctly. Work with Mohs manager on overseeing MIPS dashboard on a weekly basis.
- Oversees Office Operations to include clinical functions, front end functions, and ensuring the “day to day” office operations / personnel duties are completed when the Mohs manager is not on-site.
- Responsible for staff scheduling on a weekly basis.
- Responsible for completing all Mohs offices self audits quarterly.
- Travel requirements –travel will be necessary.
Qualifications
- 2+ years of clinical experience required; at least 1 year in dermatology preferred. Prior medical office management or healthcare leadership experience strongly preferred.
- Demonstrated ability to lead, coach, and motivate teams in a fast-paced, patient-facing environment.

Physical Requirements & Work Environment
- Prolonged periods of sitting at a desk and working on a computer, with frequent standing, walking, and movement within the office
- Manual dexterity for typing, data entry, and handling office equipment
- Ability to speak clearly, hear callers, and interact with patients in person
- Visual acuity sufficient to read patient information and EMR screens
- Ability to occasionally lift up to 20 pounds (e.g., office supplies)
- Work performed in a professional medical office setting with regular interaction with patients, providers, and staff
- Fast-paced environment requiring multitasking, attention to detail, and calm communication
- Exposure to cleaning supplies, office equipment, and moderate noise levels
- Must adhere to all health and safety policies, including infection control standards
