Job Description

This is a 9 months temporary assignment 

Reporting to the Service Manager and working with the Service Supervisors, the position of Service Administrator is responsible for providing administrative support primarily to the Service department to ensure its smooth running.

Main Responsibilities

 Maintaining the Service System by updating it with incoming Engineer reports

 Dealing with incoming and outgoing invoices

 Arranging Engineers’ travel including; Car hire delivery and collection, booking of flights, and processing Visas for visits abroad

 General day to day administration tasks including; Daily Absent Reporting, answering the service telephone and taking messages for the relevant person, collecting and delivering the daily post to the relevant people

 Distribution of the relevant monthly reports to the Accounts department/Managers/Directors

 Chasing up and filing of Service quotations

 Setting up the relevant Prices and Codes on the Service System to enable the production of correctly priced invoices

 Issuing of invoices in a timely manner and working with peers to assist in resolving invoice disputes.

 Returning files back to Service Supervisor/Coordinator for further quotes if more site work is required by the customer or through our Engineers’ recommendations.

 Sending signed contracts back to customers

Qualifications

Functional/Technical Competencies
1. Good standard of English required, i.e. for editing and proof reading, 
reporting and e-mailing customers, and translation of Client documents 
or engineer reports when required.
2. Experience in a similar role
3. Computer literate including good typing skills
4. Sound knowledge of Microsoft Word and Excel with the ability to learn 
internal computing systems
5. Knowledge of good office and administrative practice
6. Confidence and ease in communicating at all levels of internal and 
external contacts / customers
7. Understanding of and ability to handle confidential issues where 
necessary
