About the Role
We are looking for a reliable, detail-oriented, and experienced Assistant to the Property Manager to support the daily operations of a busy Australian property management team. This role is ideal for someone who thrives in a fast-paced environment and has hands-on experience using Australian property management platforms and workflows across multiple Australian states including Queensland, New South Wales, Victoria, Western Australia, and South Australia.
Key Responsibilities
Assist the Property Manager with day-to-day operations and administrative tasks.
Coordinate with tenants, landlords, vendors, and tradespeople regarding maintenance requests, inspections, and lease matters.
Prepare and manage property-related documents including leases, Form 6s, entry/exit reports, notices, contracts, and correspondence.
Maintain accurate and up-to-date records across property management systems and CRMs.
Respond to tenant and client inquiries professionally and in a timely manner.
Manage property listings, advertise vacancies, coordinate open homes, and assist with tenant screening processes.
Monitor rent arrears, invoice processing, payment tracking, and follow-up communications.
Assist with routine inspections, maintenance scheduling, and compliance tracking.
Support inbox and calendar management for the Property Manager.
Utilize Australian property management tools and platforms to streamline operations and reporting.
Assist with ad hoc administrative tasks and special projects as required.

Qualifications
Proven experience working in Australian Property Management as a Property Management Assistant, Leasing Assistant, or similar role.
Strong understanding of Australian property management processes and legislation across QLD, NSW, VIC, WA, or SA is highly preferred.
Experience using AILO and other AU property management systems is required.
Excellent communication skills, both written and verbal.
Strong attention to detail and ability to multitask effectively.
Highly organized with strong time management skills.
Ability to work independently with minimal supervision in a remote environment.
Professional, proactive, and customer-service oriented.
Requirements
Reliable internet connection with backup option preferred.
Quiet and professional work-from-home setup.
Available to work full-time on a PH dayshift schedule.
