We are seeking an enthusiastic Administration Support Officer to join our School of Pharmacy and Medical Sciences. This is a fantastic opportunity to play a pivotal role in supporting academic and professional staff while contributing to a collaborative, innovative, and purpose-driven environment that helps shape the future of healthcare education and research.

No two days will be the same. From coordinating meetings and events to supporting staff onboarding, managing travel arrangements, assisting with finance and HR processes, and helping deliver exceptional service to our students and staff, you'll be at the heart of our School's operations.

As a valued member of our professional team, you will:

  • Provide a wide range of administrative support to ensure the smooth day-to-day operation of the School.
  • Coordinate meetings, room bookings, travel arrangements, visitor access, and event logistics.
  • Manage shared inboxes, calendars, enquiries, and information systems.
  • Assist with the preparation of reports, presentations, communications, and website updates.
  • Support onboarding activities for new staff and Higher Degree Research (HDR) students.
  • Assist with financial administration, including invoice processing, payment requests, reconciliations, and budget monitoring.
  • Support HR processes including casual and sessional staff engagements and recruitment administration.
  • Build positive working relationships across the University while delivering responsive and professional customer service.
  • Contribute to the successful delivery of workshops, events, and special projects.

About you
You are a highly organised and adaptable administrator who enjoys working with people and finding practical solutions. You take pride in delivering excellent service, managing competing priorities, and ensuring tasks are completed accurately and efficiently.

You will bring:

  • Relevant administrative experience or an equivalent combination of qualifications, skills, and experience.
  • Strong organisational and time-management skills with excellent attention to detail.
  • Well-developed written and verbal communication skills.
  • Experience working with administrative systems, databases, spreadsheets, and Microsoft Office applications.
  • The ability to build positive relationships and work effectively with a diverse range of stakeholders.
  • A proactive, flexible, and team-oriented approach.
  • A commitment to professionalism, integrity, and continuous improvement.

What we can offer
This is a continuing, part-time (40% FTE) position based at the Griffith University Gold Coast.

This 40% FTE position offers flexible working arrangements. Hours may be worked as two full days per week or spread across multiple days by agreement. We encourage applications from candidates seeking flexibility to balance family or caring responsibilities.

As Griffith is a multi-site University you may be required to work across other locations. Griffith University’s campuses are located on the lands of the Yugarabul, Yuggera, Jagera, Turrbal, Yugambeh and Kombumerri peoples.

Salary Range
The full time equivalent base salary will be HEW Level 4 range $76,126 - $80,321 per annum + 17% superannuation. The total FTE package will be in the range $89,067 - $93,976 per annum.
