  • Internal experience as a CTM at SOL Mental Health.
  • Proven experience in a medical front office, care coordination, or behavioral health administrative role – you’ve done this work and done it well.
  • A systems thinker who naturally asks, “How could this work better?” – and then writes it down in a way others can follow.
  • An engaging presenter and communicator who is willing to help train and manage change within a team
  • Comfortable in ambiguity and motivated by the opportunity to build, not just execute.
  • Experience with EHR systems
  • Strong communication skills across patients, families, referral partners, and clinical teams, and across channels (phone, email, in person).
  • Highly organized with the ability to manage competing priorities without losing the human touch.
  • Proficiency in Microsoft Office; ability to learn new clinical operations technology quickly.
  • Ability to travel to multiple SOL locations as needed.

What You’ll Do

  • This role is 50% Care Team Member and 50% Care Team Preceptor.
  • This role will have a local home Care Center and will visit other Care Centers to collaborate with other team members.
  • Internal CTM II candidates preferred. Internal Care Team Member experience required.

As a Care Team Member

  • Provide a warm, professional experience for all patients by greeting visitors, answering phones, and managing daily scheduling needs across calls, emails, and logistics.
  • Complete patient intake and checkin processes, ensuring all forms, insurance verifications, copays, and balances are collected and documented accurately.
  • Manage schedules for patients and clinicians, including adjustments, followups, discharge workflows, reactivation, and endofday processes, while maintaining accurate information in the EHR.
  • Support clinical teams by triaging patient concerns, escalating issues appropriately, and coordinating necessary services.
  • Communicate clearly and promptly with patients, families, referral partners, and vendors to support the full patient journey and enhance engagement.
  • Ensure accurate charge capture, billingrelated documentation, and timely submission of required data.
  • Maintain compliance with all policies and regulatory standards (HIPAA, CMS, OSHA, etc.) and uphold a high standard of customer service.
  • Represent SOL Mental Health with professionalism and contribute positively to team culture by demonstrating empathy, collaboration, and reliability.
  • Meet productivity goals and perform additional duties as assigned.

As a Care Team Preceptor

  • Partner with operations and clinical leadership to develop and refine SOPs for care team members across markets, with a focus on consistency, patient experience, and clinical model support.
  • Identify gaps in current workflows and propose process improvements grounded in front-line experience.
  • Contribute to onboarding and training content for incoming care team members – translating institutional knowledge into scalable, replicable tools. This includes serving as a trainer for CTMs who are joining the org or learning new processes.
  • Support the organization’s transition to a new EHR system, serving as a front-line resource for care team members during implementation – providing peer guidance, surfacing workflow questions, and helping translate new system processes into day-to-day practice.
  • Serve as a resource and informal guide for care team members across locations, modeling SOL’s standards in daily practice.
  • Support cross-market consistency by documenting and communicating best practices and flagging when processes aren’t serving patients or staff.
  • Represent the care team perspective in cross-functional conversations about patient experience, access, and operational design.
