Position Description:
The Project Administrator supports the successful implementation of hardware and software solutions across multiple Quick Serve and Fast Casual restaurant and retail locations globally. This role partners closely with Project Managers to coordinate project activities, track readiness and deliverables, communicate status updates, and ensure projects move forward on time and within scope.
Operating in a fast-paced, matrixed environment, the Project Administrator collaborates with internal teams, customers, vendors, and subcontractors to manage multiple concurrent implementations, resolve issues, and support a high-quality customer experience.
Position Location:
Remotely based in our hub locations: Austin, TX, Philadelphia, PA, Minneapolis, MN, Chicago, IL, Champaign, IL, and Central New York (Albany, Buffalo, Rochester, Syracuse, New Hartford).
Reports To
Sr. Manager, Project Management
What We’re Looking For:
Strong understanding of project management methodologies, PMO standards, and documentation practices
Ability to manage multiple priorities and execute tasks effectively in a high-pressure environment
Experience communicating with internal teams, vendors, and customers to identify needs and evaluate solutions
Excellent written and verbal communication skills, including the ability to convey sensitive information tactfully
Proficiency with Microsoft Word, Excel, PowerPoint, and Project
Experience working in customer-facing environments (5+ years preferred)
Familiarity with order-to-cash processes, customer relationship management, and financial systems
Collaborative mindset with the ability to work effectively in cross-functional teams
Strong organizational, follow-through, and attention-to-detail skills

Drive execution across complex rollouts by coordinating timelines, tracking progress, and ensuring key milestones are met across multiple concurrent projects
Keep stakeholders informed and aligned—from internal teams to external partners and executives—by delivering clear, timely updates and proactively identifying risks
Ensure implementation readiness by validating that all pre-install requirements, configurations, and dependencies are complete before deployment
Own follow-through on critical details, helping resolve gaps in readiness, incomplete installs, and operational issues to ensure a smooth customer experience
Partner closely with Project Managers to maintain schedules, manage risks, track actions, and continuously improve delivery processes
Elevate operational visibility through reporting and post-install insights that help drive accountability and inform better decision-making
At its core, this role is about connecting people, processes, and technology—making sure nothing falls through the cracks and that every implementation delivers on its promise.
