job purpose: Provide on-site administrative and coordination support to the R&D and Juice teams, including executive leadership, ensuring seamless day-to-day operations through meeting coordination, space management, event support, and responsive assistance tailored to the necessities of each team. Additional tasks and projects will be assigned as needed by the Workplace Manager.
responsibilities:
- Handle daily internal office communications, invitations, and announcements.
- Support employee onboarding and office or pilot plant tours.
- Coordinate and support engagement events.
- Assist with planning and execution of regular and annual events, on and offsite.
- Assist with management of monthly birthday and anniversaries list.
- Assist in management of conference rooms and meeting schedules.
- Support Workplace Manager with supply orders, stocking, greeting visitors and other ad hoc projects.
- General office upkeep of kitchens and common areas.
- Oversee various vendors as assigned by Workplace Manager.
- Mail and package shipping and distribution.
- Assist Executive Leadership as needed.
skills/qualifications required:
- 1-3 years of experience working in a professional office setting is strongly preferred.
- Must have the ability to effectively interact with personnel from all levels within the organization and apply good judgement in resolving sensitive and/or confidential employee and HR related issues.
- Must be detail-oriented and have strong oral and written communication and analytical and organizational skills.
- Must be highly proficient with Microsoft Office, including the use of Teams, Excel, Word, and PowerPoint.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a fast-paced environment.
Working Conditions and Physical Requirements:
- 8 hours sitting/standing/walking.
- Ability to lift up to 30 lbs.
