JOB DESCRIPTION
We are hiring a highly organized, proactive Executive Assistant to support our CEO and support company events. This is a hands-on role for someone who thrives in fast-moving environments, anticipates needs before they arise, and takes pride in keeping both people and operations running smoothly.
MINIMUM QUALIFICATIONS
4+ years supporting a C-level executive, ideally a CEO or founder, in a fast-moving environment. Prior experience at a startup or high-growth company is a strong plus.
Office management and event planning experience strongly preferred, particularly for distributed teams.
Exceptional judgment and discretion. You'll routinely handle sensitive information about clients, partners, hires, and strategy.
Highly organized and structured. You enjoy building systems, not just executing them.
Sharp, concise communicator. Comfortable drafting and editing executive-level correspondence, including with senior external stakeholders.
Tech-fluent across Google Workspace (Calendar, Docs, Gmail), and quick to adopt new tools. Comfort with AI-native workflows is a plus.
Proactive and solutions-oriented. You anticipate, you don't wait.
Bachelor's degree preferred, not required.
WHAT YOU'LL OWN
Manage the CEO's calendar with active prioritization — protecting time for strategic work, ensuring the right meetings happen with the right preparation, and gatekeeping the rest.
Coordinate meeting logistics, agendas, materials, and follow-ups for client meetings, board interactions, partner conversations, and internal leadership reviews.
Arrange complex domestic and international travel, including multi-city client trips and conference logistics.
Manage expenses, reimbursements, and CEO-level vendor and contract approvals.
Serve as a liaison between the CEO and internal team, clients, partners, investors, and advisors — always with discretion.
Support the CEO on executive communications, including light drafting, scheduling sensitive conversations, and tracking commitments to closure.
