The Role:

Join the Upstream Rehabilitation team and play a key role in shaping the patient experience. As a Patient Access Coordinator, you will own the development, maintenance, and centralized governance of clinician scheduling templates across the organization - ensuring consistency, visibility, and efficiency at scale.

In this role, you’ll drive scheduling strategies that support patient access, clinician productivity, and operational performance. You’ll manage scheduling templates across clinics, coordinate setup for new hires, and adapt structures to reflect staffing changes, clinic operations, and evolving business priorities.

Partnering closely with clinic and patient access leadership, you’ll help build and sustain an optimized scheduling infrastructure across territories. Your work will directly contribute to delivering high-quality care and will support the mission, vision, and values of Upstream Rehabilitation and its affiliated entities.

What You’ll Do:

  • Own and optimize clinician scheduling by designing and maintaining templates that balance patient access, operational goals, and provider productivity.
  • Drive consistency and efficiency at scale by ensuring scheduling structures are aligned across territories and continuously improved through audits and data insights.
  • Adapt to a dynamic workforce by updating schedules to reflect hiring, departures, ramp periods, and operational changes—ensuring seamless coverage at all times.
  • Partner with leaders across the business to align scheduling strategies with staffing plans, growth initiatives, and access goals.
  • Leverage data to improve performance by tracking schedule effectiveness, identifying inefficiencies, and delivering actionable insights to leadership.
  • Other projects and duties as assigned.

Who You Are:

  • Associate’s degree or equivalent work experience (relevant experience may be considered in lieu of a degree).
  • 2+ years of experience in healthcare operations, scheduling, workforce coordination, or operational analytics.
  • Strong proficiency in Microsoft Excel and reporting tools, with the ability to analyze data and identify trends.
  • Experience working with EMR and/or scheduling systems.
  • High attention to detail with strong organizational and prioritization skills in a fast-paced environment.
  • Ability to interpret operational data and translate insights into actionable improvements.

Nice to Haves:

  • Bachelor’s degree.
  • Experience supporting multi-site healthcare operations in a fast-paced environment.
  • Experience managing provider schedules, ideally across multiple locations or teams.
  • Experience using data visualization and reporting tools (e.g., Power BI) to drive insights and decision-making.

Benefits and eligibility are dependent on employment status and pay class (full-time, part-time, or PRN). Specific details will be provided during the hiring process.

Salary Range: $18.03-$21.63/hour
