About the role:
As the Executive Assistant (EA) to the Chief Operations Officer, you’ll play a central role in providing high‑level, proactive and confidential support across both executive coordination and operational activities. This position goes beyond traditional administration, combining calendar and travel management with reporting, stakeholder coordination, office support and process improvement initiatives.
Working closely with the Chief Operations Officer and the wider team, you’ll help ensure operational rhythms run smoothly, with a strong focus on forward planning, organisation and delivering high‑quality outputs in a structured, fast‑paced environment.
Other responsibilities include:
- Provide high‑level administrative and executive support, including calendar management, meeting coordination and travel arrangements.
- Coordinate and prepare board reports, operational reports and town hall presentations with accuracy and attention to detail.
- Manage end‑to‑end travel and expense coordination for the Operations team.
- Support office management, team coordination and event planning activities across key locations.
- Consolidate information and prepare briefings for leadership meetings and key business updates.
- Support board and committee processes, including agenda coordination, minute taking and action tracking.
- Identify opportunities to improve processes, reduce administrative burden and enhance team efficiency.
- Support stakeholders across the Operations function with reporting, communication and coordination needs.

About you:
- Proven experience in an Executive Assistant or similar support role, ideally within a fast‑paced or complex environment.
- Previous experience supporting senior leaders, with the ability to manage competing priorities and maintain a high level of organisation.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint), with confidence preparing presentations and reports.
- High attention to detail, with the ability to work with structured, data‑driven or technical information.
- Ability to work autonomously, use initiative and proactively plan ahead.
- Strong communication and interpersonal skills, with the ability to build relationships across teams.
- A professional, discreet and positive approach, with the ability to contribute to a collaborative and engaging office culture.
- A proactive approach to learning the technical and operational intricacies of data centres.
Essential:
Australian Citizenship with ability to obtain and maintain a NV1 Security Clearance.
