The Role:
Join the Upstream Rehabilitation team, where your work makes a meaningful impact on the associate experience. As an HR Onboarding Coordinator, you will support a seamless and compliant onboarding process from offer acceptance through first-day orientation.
In this role, you will manage onboarding activities, maintain HR systems, track compliance requirements, and partner closely with hiring managers, HR, and cross-functional teams to ensure a timely and accurate experience.
You will uphold Upstream Rehabilitation’s mission, vision, and values while helping deliver a consistent and positive onboarding experience.
What You’ll Do:
- Coordinate background checks to ensure completion aligns with start date requirements
- Support I-9 and E-Verify processes, tracking completion and escalating issues to maintain compliance
- Track onboarding progress from offer acceptance through orientation, following up to ensure timely completion
- Partner with HR teams to update new hire information across systems (e.g., ADP), ensuring accuracy and completeness
- Prepare and maintain personnel files in accordance with documentation requirements
- Manage onboarding communications with hiring managers and new hires
- Create and maintain standard reports and tracking logs to support onboarding visibility
- Support updates to onboarding materials, including the Onboarding Manual
- Provide general administrative support to the Onboarding team.
- Other projects and duties as assigned.
Who You Are:
- High School Diploma or GED required.
- 2+ years of experience in Human Resources or a related field.
- Working knowledge of employment practices and compliance requirements.
- Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
- Highly organized, with the ability to track and coordinate multiple onboarding activities simultaneously.
- Customer-focused mindset with a responsive, service-oriented approach.
- Clear and professional written and verbal communication skills.
- Ability to follow established processes and escalate issues appropriately.
- Proven ability to handle sensitive information with discretion and confidentiality.
- Proficiency in Microsoft Office and web-based HR systems.
- Ability to work independently while also collaborating effectively within a team.
Nice to Haves:
- Bachelor’s degree in Human Resources or a related field preferred.
- Experience in a healthcare and/or multi-state organization preferred.

Salary Range: $19.00 - $24.00/hour
Estimated pay ranges listed above are based on several factors including but not limited to your pay class, experience, background and geographic location of the clinic
Benefits and eligibility are dependent on employment status and pay class (full-time, part-time, or PRN). Specific details will be provided during the hiring process.
