The role requires specialized experience in facilities management, compliance auditing, emergency response coordination, and familiarity with Clark Freeport Zone regulations. The candidate must be capable of conducting internal audits, managing security incidents, and handling compliance documentation and reporting. Experience with CDC transactions and Safety Officer Certification are preferred.
The role of the Administrator (Facilities and Compliance) at Aprio is key in ensuring the seamless operation of our facilities while upholding stringent compliance standards. This essential team member takes charge of coordinating emergency response plans, conducting thorough security audits, and maintaining compliance-related documentation.
Additionally, he/she oversees facility inspections and safety checks. Possessing a meticulous attention to detail and a resolute commitment to regulatory compliance, this position is instrumental in guaranteeing that Aprio's facilities not only operate safely and efficiently but also remain in full alignment with industry benchmarks and regulations.
### Position Responsibilities
Emergency Management and Compliance Support
Assist in emergency situations and crisis management
Aid in conducting compliance training sessions for employees
Communicate security guidelines effectively to employees and vendors
Coordinate emergency response plans and drills
Enforce security protocols and respond promptly to incidents
Manage security incidents and investigations
Compliance Auditing and Assessment
Conduct internal compliance audits and assessments
Perform risk assessments and security audits
Carry out routine security checks to ensure adherence to protocols
Stay updated on industry regulations and ensure company-wide compliance
Documentation and Reporting
Handle compliance-related documentation and reporting
Identify compliance gaps and recommend corrective actions
Report security breaches and incidents to the Senior Administrator
Process all company-related requirements including permits and visa processing
Facility Management
Address maintenance issues promptly and efficiently
Conduct regular facility inspections and safety checks
Coordinate office moves, renovations, and maintenance projects
Ensure compliance with workplace health and safety standard
Ensure the proper functioning of utilities and equipment
Maintain office supplies inventory and distribution
Schedule and oversee maintenance tasks and repairs
Process all access cards including company identification cards
### Qualifications
A graduate of Bachelor’s degree in Business Administration, Engineering or related field
2-3 years of experience working in the field of Facilities, Security and Safety.
Good oral and written communication skills
Proficiency in MS Office applications; experience with SharePoint and Canva is an advantage
Keen to detail
Self-motivated and able to work independently
Good organization skills and good communication skills
Excellent time management
Safety Officer Certification is preferred.
Experience working within the Clark Freeport Zone (transacting with Clark
Development Corporation related to permits and compliance) is a plus.
