WE ARE LOOKING FOR
We are seeking an organized and service-oriented Office Coordinator to join our French office in Paris.
You will play a key role in shaping the employee and visitor experience in our Paris office.
This role is ideal for someone who enjoys creating structure, supporting people and building a welcoming, high-quality workplace environment in a dynamic international company.
SOME OF THE INTERESTING CHALLENGES AHEAD OF YOU
Office Operations & Workplace Management
- Ensure the smooth day-to-day running of the office.
- Maintain a clean, organized and professional workplace environment.
- Coordinate office maintenance requests and liaise with the property manager/building management.
- Manage office supplies, refreshments and general workplace equipment.
- Prepare meeting rooms prior to external meetings (coffee, water, room setup, etc.).
- Coordinate couriers, incoming/outgoing post and document filing.
- Manage press subscriptions and office administrative records.
- Manage future office relocation projects and related coordination activities
Vendor & Facilities Management
- Act as the main contact person for office-related vendors and service providers.
- Coordinate relationships with cleaning providers, maintenance suppliers, telecom/internet providers and office services.
- Monitor service quality and support invoice follow-up where required.
Travel & Event Coordination
- Coordinate business travel arrangements with the travel agency, including flights, accommodation and transportation.
- Support the organization of internal events, team gatherings and marketing events.
- Organize team-building activities and employee engagement initiatives.
- Coordinate welcome breakfasts, lunches or restaurant bookings for new joiners and eventually visitors when required.
HR & Administrative Coordination
- Support HR administrative processes for the French office.
- Collect and coordinate employee documentation with relevant internal teams and external providers.
- Liaise with the payroll provider and internal teams for monthly payroll-related information.
- Maintain payroll and HR administrative records.
- Act as contact person for company cars and coordinate with the fleet provider.
- Support onboarding and offboarding processes for employees.
- Coordinate mandatory trainings and occupational health appointments.
- Organize annual health and wellbeing initiatives.
- Maintenance of occupational health and medical compliance records.
- Support in maintaining workplace risk assessment documentation.
- Support in maintaining business continuity procedures and documentation.
IT & Operational Support
- Act as the local contact person for IT-related matters.
- Coordinate with internal IT teams and external providers when required.
- Support office hardware requests and monitor office IT equipment needs.
General Administrative Support
- Provide general administrative support to the local team and management.
- Prepare letters, administrative documents and presentations when required.
- Maintain accurate filing and documentation processes.
- Support ad hoc office and operational projects.
