Strategic Operations sits at the centre of how Spare runs day to day. The foundation of the role is executive support for the three co-founders and oversight of the in-office experience: travel and scheduling, vendor relationships, events, culture, the environment that makes Spare a place people want to show up to. Once that foundation is dialled in, the role opens up into real strategic work alongside the Manager, Strategic Projects: planning sessions, cross-functional initiatives, board cycle support, and the internal AI tooling that is shaping how Spare operates next.
The operational work is non-negotiable. It comes first because it is the foundation everything else is built on. The strategic work is what makes this role different, and it is what you grow into as you prove out the baseline.
This is an early-career role. If you have been looking at openings like business operations / BizOps, founder's office, strategy and operations, or AI operations, this sits in the same space. This role requires a full-time presence at our Vancouver HQ 5 days per week.
What You'll Own
Founder support. You get to know how each of the three co-founders works, with some support for the broader leadership team. What they need, when they need it, and how they prefer things handled. The scope is focused: no inbox management, no traveling with executives. But what you do handle (life event gifts, client hospitality, welcome notes, ad-hoc requests) you handle with the right taste, timing, and discretion.
Travel, logistics, and scheduling. When founders travel, you own it end to end: flights, hotels, itineraries, restaurant reservations. You support their calendars and handle meeting logistics as needed. You also manage the recurring admin that comes with the role: expenses, cheque deposits, document scanning, etc.
Office, events, and culture. Everything that makes Spare's Vancouver HQ run. Daily environment, weekly food, vendor oversight. Monthly lightweight socials at the office, quarterly outings with a small guest list, one bigger production per year for the holiday party, and logistics for internal events like hackathons, team workshops, and SKO.
Strategic projects. Once the baseline is steady, you take on real ownership of work alongside the Manager, Strategic Projects. The mix shifts week to week and gets more substantive over time. Examples of what is on the table: coordinating SLT strategic planning sessions and offsites end to end, supporting key cross-functional initiatives, contributing to board prep and follow-up, and helping build and roll out internal AI-based process tooling. That last one is a significant strategic priority for the company.
This is the largest part of the role at full capacity, but it is not where you start. The first stretch is about learning how Spare works and getting the foundation excellent.
What We're Looking For
You are early in your career. You may be a recent grad, or you may have a year or two of experience in something fast-paced. We care more about how you think and how you work than what your resume says.
You are exceptional. This role is not for everyone at your stage. The bar is high because the baseline is non-negotiable and the strategic work is real. You can keep multiple things running in parallel without dropping any of them. You are organized enough to handle founder travel, office operations, and a strategic project in the same week.
You are reliable. When a founder has a flight or a client dinner, they do not check whether it is handled. When someone new starts, their desk is ready. Nobody questions whether the office is well-run. It is all handled.
You have low ego and high ownership. A lot of the baseline is invisible work. Some of it is physical, repetitive, and unglamorous. You do it because the office needs it done and you do it well. If that is a dealbreaker, this is not the role.
You exercise good judgment and discretion. You will be close to sensitive information including financial decisions, org changes, and founder dynamics. You handle it with care. You know what a founder needs before they ask and you know when the office needs attention before anyone flags it.
You have good taste. Gifts are appropriate. Events feel right. The office looks right. You notice when something is off and fix it before anyone asks.
You are a builder, not just an executor. You see broken processes and want to fix them. You bring ideas instead of waiting to be told. You are excited about the AI tooling work and have a point of view on how AI can change how a company operates.
