The Role
We are looking for a highly organized and proactive Recruiting Operations Coordinator (Contractor) to support our growing hiring efforts across engineering, product, design, operations, and business functions.
In this role, you will serve as a key operational partner to our hiring managers, recruiting agencies, interviewers, and candidates. You will help ensure a seamless recruiting process by coordinating interviews, managing candidate logistics, facilitating communication across stakeholders, and driving recruiting operations with accuracy and attention to detail.

What You Will Do
Recruiting Agency & Hiring Manager Coordination
Serve as the primary point of contact between Arta hiring managers and external recruiting agencies
Facilitate communication regarding open roles, candidate submissions, interview feedback, and hiring decisions
Ensure agency partners have timely updates on candidate status and process changes
Track agency performance, candidate pipelines, and recruiting activity across active searches
Help maintain strong working relationships with recruiting partners while ensuring a high-quality candidate experience
Interview Scheduling & Candidate Logistics
Coordinate phone screens, virtual and onsite interviews, and executive interviews across multiple time zones
Be present in the office 4~5 days a week. For the onsite interviews, register candidates with the building reception, escort them to the meeting room.
Ensure a smooth and professional experience throughout the interview process
Quickly resolve scheduling conflicts and last-minute changes
Candidate & Pipeline Management
Maintain accurate candidate records and recruiting data within the Applicant Tracking System (Ashby)
Track interview completion, feedback collection, and hiring team responsiveness
Assist with candidate communications, including interview invitations, status updates, and offer coordination
Offer & Hiring Support
Assist with offer logistics and candidate closing activities in collaboration with the hiring managers, who will directly communicate the offer details with candidates
Coordinate offer letters for signing, and transition to the Office Manager for the onboarding handoffs
Support ad hoc recruiting projects and hiring initiatives as the company scales
Who You Are
Minimum 3 years of recruiting coordination experience within a technology company, high-growth startup, or fast-paced recruiting environment
Proficiency with Applicant Tracking Systems (Ashby preferred) and scheduling tools
Demonstrated experience supporting multiple concurrent hiring processes and stakeholders
Strong experience coordinating interviews across multiple time zones and seniority levels
Exceptional organizational skills with strong attention to detail
Ability to manage competing priorities while maintaining a high level of accuracy and responsiveness
Excellent written and verbal communication skills
Strong stakeholder management skills and a customer-service mindset
Comfortable working independently in a dynamic, fast-moving environment
Nice to Have
Experience supporting technical recruiting teams
Experience working with external recruiting agencies and search firms
Experience supporting global hiring across North America, APAC, and EMEA
Familiarity with recruiting metrics, reporting, and process optimization
Previous experience in fintech, AI, SaaS, or other high-growth technology companies
