We're a 200+ person SaaS business, recognised internationally for the quality of our product, and we're investing heavily in how we use AI: both in what we build for our users and in how we run the company.
The Role
Matific has grown into a global business with 200+ people across many functions. Like any company at our scale, we've accumulated a mix of systems, tools and workflows that can work harder for us. We're hiring someone whose full-time job is to look across the business, find the highest-leverage opportunities to streamline how teams work, and ship the improvements.
This is a builder role, not a strategy role. You'll work across several teams at once (sales, customer support, marketing, finance, HR), identifying where AI, automation, or smarter use of existing tools can save time and improve quality. Then you'll build the fix, prove it worked, and move on to the next opportunity.
You'll report directly to the CEO. That gives you the air cover to engage with any team and the mandate to ship. It also means you're accountable for outcomes, not activity.
Key Responsibilities
- Work across multiple teams in parallel (sales, CS, marketing, finance, HR), understanding their workflows and finding where time can be reclaimed.
- Build the fix. Often this looks like wiring tools together in Zapier, Make or n8n, configuring an AI layer on top of existing platforms (for example, AI agents in Salesforce, Zendesk or Notion), or replacing a manual process with an automated one.
- Run vendor evaluations when a new tool is genuinely needed. Scope requirements, demo two or three options, negotiate, implement, and own the rollout.
- Quantify impact. Every project ships with a before and after: hours saved, error rate reduced, cycle time cut, or cost avoided. If you can't measure it, we don't count it.
- Write the playbook. Document what you build so the team can run it without you, and so the next project gets faster.
- Champion adoption. A working automation no one uses is worthless. You'll train, troubleshoot and follow up until it sticks.
- Work with our global offices. Our teams sit across multiple time zones, so expect a few early starts and later evenings each week to collaborate live with colleagues overseas.
What success looks like
- First 90 days: Two or three shipped automations with measured impact, plus a documented map of the highest-leverage opportunities across the business, ranked by effort and ROI.
- First 12 months: Meaningful, measurable reduction in manual work across at least four functions. A backlog of improvements running on a predictable cadence. Other people in the business starting to bring you their problems unprompted.
Requirements
- 2+ years in an ops, business systems, RevOps, or transformation role where you personally built things rather than spec'd them for someone else to build.
- Demonstrated fluency with at least two of: Zapier, Make, n8n, Workato, Power Automate or similar.
- Comfortable in SQL or spreadsheets at an advanced level. Enough to pull data, quantify a problem, and prove the fix worked.
- Hands-on experience using modern AI tools in real workflows. Examples include deploying Claude Projects or Gems for a team, building a RAG-style internal search, or configuring AI features inside platforms like Salesforce, Zendesk, or Notion.
- Track record of running vendor selection and implementation end-to-end.
- Ability to engage with a team, earn trust quickly, and ship something useful within weeks.
Nice to have:
- Experience in a SaaS or EdTech business at our scale (50+ people, multi-region).
- Light coding ability in Python or JavaScript for cases no-code can't handle.
- Background working with finance or sales systems specifically (NetSuite, Salesforce, HubSpot).
You'll probably struggle here if:
- You prefer writing strategy decks to shipping working systems.
- You need a team under you to get things done.
- "AI" to you means ChatGPT, and you haven't yet built anything production-ready with it.
- You're allergic to measuring your own work.
What this role is not
- It's not a Chief of Staff role. You won't run the CEO's calendar or sit in every exec meeting.
- It's not a data analyst role. You'll use data, but the deliverable is a working system, not a dashboard.
- It's not engineering. You won't be building Matific's product or touching production code.
