Our client is seeking a highly organized, dependable, and clinically knowledgeable Clinical Patient Coordinator (Registered Nurse) to support patient onboarding, scheduling, insurance coordination, phone triage, and administrative operations for a growing infusion therapy practice.
This role is ideal for a Registered Nurse (RN) who enjoys combining clinical knowledge with patient coordination and healthcare administration. The coordinator will serve as a key point of contact for patients, physicians, pharmacies, referral sources, and internal team members, helping ensure a seamless patient experience from intake through treatment coordination.
As the Clinical Patient Coordinator, you will manage patient onboarding, appointment scheduling, insurance verification, documentation workflows, and incoming phone calls while maintaining accurate records across multiple systems. Because the practice works with complex infusion therapy patients and multiple referral sources, the client strongly prefers someone with clinical experience who understands medical terminology, patient care workflows, and can confidently communicate with both patients and healthcare professionals.
This position plays a vital role in supporting daily operations and allowing leadership to focus on strategic growth and expansion initiatives.
Scope of Work / Responsibilities
Patient Intake & Onboarding
- Send intake packets to new patients
- Upload completed intake packets into the system
- Create and maintain patient medical record numbers (MRNs)
- Coordinate patient onboarding and intake workflows
- Maintain accurate patient records and documentation
Scheduling & Administrative Coordination
- Schedule patient appointments and enter them into Office Ally EMR
- Maintain centralized tracking sheets containing patient names, pharmacy information, and treatment details
- Support administrative workflow management and operational coordination
- Ensure data accuracy across patient records and internal systems
Phone Call Management & Referral Coordination
- Answer and manage incoming patient and referral calls
- Route and dispatch calls to the appropriate team members, including nurses, billers, and nurse practitioners
- Respond to referral inquiries and patient requests
- Manage communications through the GoDaddy Smartline VOIP system
- Communicate professionally with patients, physicians, pharmacies, and healthcare partners
Insurance & Financial Coordination
- Verify patient insurance eligibility and benefits
- Assist with co-pay collection processes
- Support insurance-related administrative tasks and documentation
- Maintain accurate insurance records and patient information
Clinical Documentation Support
- Upload clinical notes and patient documentation from Cognito Forms into Office Ally EMR
- Ensure documentation is organized, complete, and entered accurately
- Support chart management and medical record maintenance
Top 3 Priorities
1. Phone Call Management & Referral Dispatch
Serve as the first point of contact for incoming calls, referrals, and patient inquiries while ensuring calls are routed accurately and efficiently.
2. Patient Intake & Onboarding
Manage the intake process from packet distribution through documentation upload, ensuring new patients are onboarded smoothly and accurately.
3. Scheduling & Administrative Data Management
Maintain appointment schedules, insurance information, patient records, and centralized tracking systems that support efficient daily operations.
Requirements
Clinical Background (Required)
- Registered Nurse (PHRN)
- Clinical healthcare experience required
- Strong understanding of medical terminology, patient care coordination, and healthcare workflows
- Ability to communicate effectively with patients, physicians, pharmacies, and healthcare professionals
Healthcare Administration Experience
- Experience with patient intake and onboarding
- Appointment scheduling and calendar management
- Insurance verification and eligibility checks
- Medical records management
- Clinical documentation and charting workflows
- Patient-facing healthcare support
Technical & Operational Skills
- Strong organizational and multitasking abilities
- Ability to learn and navigate multiple software systems

Basic requirements
- Must be proficient in speaking and writing English very clearly

- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
- Must be available for video meetings with your camera on (when needed)
