Duties & Role:
- Support to Programme Manager for the updates of projects performances on ServiceNow and EBA, including budget execution, through release of Purchase Requests and follow on coordination of Purchase Orders with Acquisition department and vendors
- Coordinating operational and administrative processes including managing all project documentation, making travel arrangements
- Providing support for Project Managers including, but not limited to budget monitoring and procurement actions
- Close cooperation with external and internal stakeholders, providing assistance in supplier management
- Collecting and presenting performance data during internal stakeholders meetings
Specific Working Conditions: The incumbent may be required to travel to Agency's main locations at time (max 1 TDY for month). The activities will be generally carried out in normal office environment. During implementation stages, the activity could be carried out in construction areas which requires the use of Individual Protection devices and compliance to specific norms and regulations.
Requirements
Skill, Knowledge & Experience:
- The candidate must have a currently active NATO SECRET security clearance
- Masters' Degree in Business Management or similar area supported with at least 2 years of professional experience
- Additional Degree or professional experience in Strategic Communication, especially in multicultural or multinational environments.
- Experience in project support activities like minutes taking and documentation management within NATO or military environment
- Extensive background in ServiceNow, EBA and SharePoint operations
- Experience within budget monitoring, expenditures tracking as well as taking part in procurement activities like preparing managing purchase requests
- Extensive background in both external and internal stakeholders management including governmental institutions and NATO
- Background in performance analysis and data reporting utilizing Power BI
- Prince 2 Foundation certification
- Proficiency in English and communicative level of French are a must
- Familiarity with stakeholder engagement principles and space management at workplace activities
