We are seeking a highly organised and detail-oriented Mortgage Administrator / Case Coordinator to support a growing UK-based mortgage and protection business.

This role is ideal for someone who thrives in a fast-paced administrative environment, enjoys coordinating multiple moving parts, and takes pride in delivering exceptional client service. You will play a key role in ensuring mortgage and protection applications are processed efficiently from initial enquiry through to completion.

The successful candidate will work closely with Mortgage Advisers, lenders, solicitors, estate agents, and clients to ensure all cases progress smoothly and within expected timelines.

Requirements

Case Management & Administration

  • Manage mortgage and protection cases from application through to completion.
  • Prepare and submit mortgage applications accurately and efficiently.
  • Chase outstanding documentation from clients, lenders, solicitors, and providers.
  • Monitor application progress and provide regular updates to advisers and clients.
  • Ensure all records and notes are accurately maintained within the CRM system.
  • Upload, organise, and maintain client documents securely and compliantly.

Client Communication

  • Act as a key point of contact for clients throughout the application process.
  • Provide professional and timely communication via phone, email, and WhatsApp where required.
  • Assist clients with completing documentation and understanding the process.
  • Deliver a high level of customer service and maintain strong client relationships.

Coordination & Compliance

  • Liaise with lenders, insurance providers, valuers, and solicitors to progress cases.
  • Ensure all documentation meets compliance and regulatory requirements.
  • Assist advisers with pipeline management and case prioritisation.
  • Support the wider operations team with administrative duties when required.

Essential

  • Previous administration or case coordination experience.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Confident verbal and written communication skills.
  • Ability to manage multiple cases and deadlines simultaneously.
  • Strong computer literacy and ability to learn CRM systems quickly.
  • Professional, proactive, and client-focused attitude.

Advantageous

  • Previous experience within the mortgage, financial services, insurance, banking, or property industry.
  • Experience working with UK-based clients or businesses.
  • Familiarity with mortgage terminology and application processes.
  • Experience using CRM systems and Microsoft Office Suite.
