The Technical Officer supports the Vessel Manager in the day-to-day technical management of assigned vessels, ensuring timely procurement, cost control, and documentation in line with company standards and owner requirements. The role is responsible for coordinating the purchase and delivery of spares, stores, and services, maintaining accurate records, and ensuring that vessels receive the required materials on time and within budget. The Technical Officer plays a key part in maintaining smooth communication between ship and shore, supporting repairs, surveys, and cost tracking activities to ensure vessels operate safely, efficiently, and economically.

Key Responsibilities:

  • Procurement coordination – Handle requisitions for spares, stores, and services from vessels; obtain quotations, evaluate options, prepare purchase orders, and follow through to delivery.
  • Vendor management – Liaise with approved suppliers and service providers to ensure competitive pricing, reliable delivery, and compliance with company procurement policies.
  • Delivery tracking – Monitor and record delivery progress of spares and stores to vessels, consolidating shipments where possible to reduce cost and avoid delays.
  • Repair coordination – Arrange routine repairs and service attendances requested by vessels, ensuring quotations are obtained and major jobs are escalated for approval to the Vessel Manager.
  • Survey and certification support – Track class and statutory survey schedules; assist in arranging surveys and maintaining documentation in coordination with the Vessel Manager.
  • Cost control and record keeping – Assist in the preparation and monitoring of vessel operating budgets; review and code supplier invoices, follow up on outstanding invoices, and maintain cost records for repairs, spares, and dry-dockings.
  • Inventory and documentation – Maintain updated records for spares, stores, manuals, drawings, and maintenance documentation for quick retrieval and audit readiness.
  • Lubricant monitoring – Track lube oil sample submissions and analysis reports, follow up on abnormalities, and inform the Vessel Manager of exceptions or overdue reports.
  • Communication management – Handle correspondence with vessels, suppliers, and internal departments regarding requisitions, repairs, and logistics, ensuring professional and timely communication.
  • Administrative support – Maintain vessel files, purchase records, and reporting checklists; ensure all required documents are filed and accessible per company policy.

Requirements

Qualifications and Experience

  • Diploma or bachelor’s degree, preferably in marine engineering, logistics, or a related technical field.
  • 2–3 years of relevant experience in purchasing, technical administration, or ship management; exposure to maritime operations is advantageous.
  • Good understanding of procurement processes, logistics coordination, and cost tracking in a technical environment.
  • Sound computer literacy and experience with ERP or purchasing systems (e.g. JiBe, Sertica, or similar).

  • Proactive and reliable, able to manage multiple open requisitions and deadlines efficiently.
  • Cost-conscious mindset with awareness of commercial priorities and client expectations.
  • Team-oriented, with good communication and interpersonal skills for coordination between ship, office, and supplier.
  • Able to work independently under the Vessel Manager’s direction, taking ownership of assigned procurement and logistics tasks.
