Amca is building America’s new industrial base. Since the 1990s, our ability to build new aviation and military systems and maintain the ones we already have has eroded. Today, the gap between what the nation needs to produce and what it is capable of producing is the largest it has been in generations.
To help close that gap, Amca rapidly develops and manufactures new critical components and subsystems required to build and sustain the planes, military vehicles, and core infrastructure America needs. Today, we operate seven factories nationwide, including our advanced prototyping and testing headquarters in El Segundo, and deliver avionics, hydraulic, and electrical components for platforms such as the F-35, F-16, F/A-18, 737MAX, 787, A320neo, A321, Mk-48, and M1 Abrams.
Overview
Amca’s Executive Assistant will be the operational jetpack to the CEO and COO, and be the primary person responsible for scheduling meetings, inbox triage, coordinating travel, and all logistics needs of the executive team. Our EA will have an unrivaled attention to detail, have a perfect say:do ratio, and proactively solve problems before they come up.
Responsibilities
- Own the CEO and COO calendars end-to-end: scheduling, prioritizing, resolving conflicts, protecting focus time
- Triage inboxes daily, flag what needs attention, draft responses, handle routine correspondence
- Coordinate all travel: flights, hotels, ground, detailed itineraries, real-time replanning when things change
- Run meeting logistics: rooms, dial-ins, pre-reads distributed on time, follow-ups tracked
- Manage expenses, reimbursements, invoices, subscriptions
- Plan and coordinate (as needed), 1:1s, team dinners, board meetings, exec events
- Act as the point of contact for internal and external stakeholders trying to reach the execs
- Partner closely with the Chief of Staff on exec priorities and operating cadence
- Build and maintain the systems that keep the exec team running: trackers, templates, contact lists, vendor relationships
- Anticipate needs before they're asked: pre-stage materials, pre-book the car, pre-flag the conflict
Qualifications
- Obsessive attention to detail, nothing slips
- Calm under pressure, comfortable with last-minute changes
- Trustworthy with sensitive information
- Bias to action, owns outcomes not tasks
- Preferred: 3+ years supporting C-level execs, ideally in a fast-moving startup
