We have a current opening for an Administrative Assistant at our corporate office in Long Beach, CA.

Success in the position is achieved through the following duties & responsibilities:

Manage Front Desk

  • Answer phones and transfer callers to the appropriate Royal employee.
  • Greet visitors and direct them to the correct personnel while following safety protocol.
  • Date stamp all general correspondence and distribute mail to appropriate employees.
  • Prepare outgoing packages for UPS, FedEx, etc. Assist with calling for pick up or tracking packages as needed.
  • Maintain inventory of FedEx shipping supplies
  • Maintain an adequate inventory of office supplies. (printer ink, pens, markers, highlighters, notepads, printer paper, post-its)
  • Keep the lobby and office supply closet organized and clean.
  • Follow the Front Desk Checklist to complete at the beginning and end of each day.

Provide Talent Support

  • Assist in coordination and notification for interview arrivals
  • Initial point of contact for in-office onboarding support; desk set-up; orientation training presentation, logistics support, etc.
  • Securely maintain electronic devices (fully charged) to be used for onboarding
  • Securely maintain drug testing supplies

Provide Building Maintenance Support

  • Coordinate maintenance and repair needs with the property manager, submitting work orders as required and ensuring timely resolution of all issues
  • Serve as point of contact for outside vendors such as furniture installers and contractors
  • Prepare conference rooms for meetings and ensure they are kept tidy and stocked with water, pens, tissue, etc.
  • Ensure copy machines are stocked with paper and toner. Make calls for service if needed.
  • Manage supplies and snacks for all offices, job site trailers, and yard.
  • Re-stock break rooms and crew area with supplies.
  • Ensure areas are clean and coffee pots are emptied at the end of the day.
  • Partner with field and accounting to schedule cleaning of trailers for different project sites and rental properties.

Clerical Support

  • Order and facilitate lunch for team trainings, meetings. Ensure clean up after lunch is complete.
  • Complete misc. projects as assigned.
  • Executive Assistant support – scheduling, calendar management, responding to RSVPs, planning, etc.

Provide Marketing Support

  • Excel spreadsheet formatting
  • Conduct research
  • Scheduling

Requirements

Qualifications:

  • 3+ years of experience working as a receptionist or front desk administrator.
  • Experience working in the construction industry is preferred.

Special Considerations

  • Bilingual/Spanish speaking a plus

Required Skills & Abilities

  • Excellent written and verbal communication skills with a focus on customer service.
  • Ability to multi-task and demonstrate time management in a fast-paced environment.
  • Ability to problem-solving skills and escalate questions and concerns when needed.
  • Must be detail-orientated, well organized, and able to meet deadlines.

Salary Range

  • Salary Range: $20.00/hour - $25.00/hour
    • This is a non-exempt position
