What we need:
We’re looking for an experienced Executive Assistant and Office Manager to serve as a trusted partner to our five-member Executive Team, including our CEO, while ensuring seamless office operations. The Executive Assistant and Office Manager role requires someone who is organized, proactive, detail-oriented, and comfortable working in a fast-paced, dynamic environment.
More than keeping things running, you’ll help drive efficiency, foster collaboration, and create impact. As a trusted partner to our Executive Team, you’ll enable leaders to focus on strategic priorities while helping maintain a high-performing workplace. You’ll also own end-to-end event execution, delivering thoughtful and memorable experiences that align with Guardian’s objectives and culture.
Key Responsibilities:
Executive Support:
- Calendar Management: Orchestrate complex calendars for the Executive Team, ensuring alignment with organizational priorities and business goals. Anticipate scheduling conflicts, prioritize time-sensitive engagements, and maintain a seamless flow of executive commitments.
- Meeting Preparation and Follow-Up: Support executive-level meetings by preparing detailed agendas, presentations, and briefing materials well in advance. Capture key decisions, track follow-up actions, and coordinate with stakeholders to ensure deliverables are completed on time.
- Communication Liaison: Serve as the point of contact between the Executive Team and internal teams, external partners, and clients as needed. Draft professional correspondence, ensure consistent messaging, and maintain confidentiality while managing sensitive communications.
- Travel Coordination: Plan and manage intricate travel itineraries for the Executive Team, balancing logistical efficiency with executive preferences. Ensure seamless coordination of accommodations, transportation, and meeting schedules.
- Special Projects and Initiatives: Partner with executives on high-impact projects, providing administrative and organizational support to meet critical deadlines. Collaborate cross-functionally to drive successful execution and completion of initiatives aligned with business objectives.
Office Management:
- Office Operations Oversight: Ensure the efficient operation of the office environment by managing vendor relationships, office supplies, and facilities services. Proactively address issues to maintain a productive workspace for all employees.
- Event Coordination: Creatively plan and execute office events and initiatives that foster a collaborative and positive work culture. Manage logistics for team-building activities, holiday celebrations, and leadership offsites.
- Light IT Support: Ensure desk setups are working properly and coordinate with the outsourced IT vendor on more complex requests.
Qualifications:
- Bachelor's degree or equivalent combination of education and relevant experience.
- 8+ years of experience providing high-level executive support, with at least 4 years supporting C-suite executives.
- Proven ability to manage complex scheduling, travel coordination, and executive communications in a fast-paced, high-growth environment.
- Experience managing logistics for company events, including leadership offsites, holiday celebrations, team-building activities, and other initiatives that foster collaboration and strengthen organizational culture.
- Strong project management experience, with demonstrated success in overseeing office buildouts and managing cross-functional initiatives from inception to completion.
- Excellent relationship-building and stakeholder management skills, with the ability to act as a trusted partner to senior leadership and external vendors.
- Exceptional organizational and problem-solving skills, with a keen attention to detail and the ability to prioritize competing demands effectively.
- Proficiency with Microsoft Office Suite, including Teams, SharePoint, Outlook, PowerPoint, Excel, and related collaboration tools.
- Experience working in private equity, startup, or high-growth environments is a plus.

Compensation:
Guardian is committed to fair and equitable compensation practices. For this position, the base salary range is $85,000 to $95,000, plus eligibility for an annual bonus. Actual compensation will depend upon an individual’s skills, experience, qualifications, location, and other relevant factors. The salary range is subject to change and may be modified at any time.
Location: This is a primarily in-office role, requiring 3 to 4 days per week in the downtown Denver office, with parking provided
