Here’s the opportunity:

Reporting to the Vice President, Talent & Culture, the Payroll and Benefits Specialist is responsible for delivering accurate and compliant end to end payroll and benefits administration while supporting HRIS data integrity, reporting, and process improvement initiatives across the organization.

This role works closely with Talent & Culture (T&C), Finance, external stakeholders and employees to ensure a high-quality employee experience and operational excellence.

This existing permanent part-time position (22.5 hours per week) is based in Toronto, ON. The incumbent will work on a hybrid work model, requiring a minimum of 1 day  in-office per week.

What you will do

Payroll & HRIS administration - 50 %

  • Process, validate and reconcile a biweekly payroll for 140+ employees across Canada in a national payroll environment
  • As the subject matter expert in payroll, ensure accurate payroll processing, deductions, and remittances in compliance with federal and provincial legislation
  • Maintain payroll accuracy through regular audits/controls, reconciliations
  • Manage payroll-related reporting, audits, leave administration, and year-end activities including T4 preparation
  • Prepare, submit, and reconcile required federal and provincial payroll reports and filings, including Records of Employment, year‑end tax slips, and province‑specific payroll taxes (e.g. workers’ compensation)
  • Investigate and resolve payroll discrepancies in collaboration with internal stakeholders and external vendors
  • Support continuous improvement initiatives related to payroll systems, workflows, and reporting capabilities
  • Maintain time off (vacation and other leave) processes, including requests from staff and leaders
  • Maintain high standards of data integrity within HRIS and payroll systems (Dayforce)
  • Investigate and resolve payroll discrepancies in collaboration with internal and external stakeholders
  • Support year-end payroll activities including T4 preparation, reconciliations, and audit support

Benefits administration - 30%

  • Act as a primary point of contact for employee inquiries related to benefits
  • Manage benefit eligibility requirements and identify when employees are eligible and notify them of all enrollment options in the various benefit offerings, such as medical, dental, life and flexible spending accounts
  • Provide a positive employee experience through responsive, accurate, and service-oriented support
  • Administer employee benefits programs including enrollments, changes, terminations, and leave-related processes
  • Coordinate employee communications related to wellness programs, group benefits
  • Organize employee information sessions and webinars, in partnership with external benefits and wellness providers
  • Provide administrative and operational support for compensation, benefits, payroll, and employee wellness programs
  • Support employee onboarding through benefits education and orientation sessions
  • Conduct monthly premium reconciliations and collaborate with the finance department to ensure accurate and consistent financial reporting to insurance providers

Talent & Culture support - 20 %

  • Generate and analyze HR and payroll reports to support organizational planning, audits, budgeting, and decision-making
  • Provide employee or leader sessions around use of Dayforce or related to pay and benefits
  • Review and support updates to HR policies related to leave management, vacation, attendance, compensation, and employee benefits
  • Coordinate employee communications related to retirement savings plans and T&C initiatives
  • Support reporting and workforce analytics initiatives in collaboration with Talent & Culture and Finance teams
  • Support with HR metrics, organizational charts, workforce analytics, and ad hoc reporting requests
  • Stay current and up to date on HR legislation and best practices
  • Stay current and up to date on payroll taxes general payroll legislation and other statutory deductions
  • Ensure compliance with Federal and Provincial employment standards

Requirements

What will you bring:

  • Relevant experience may include education with a focus in Business Administration, Finance or Human Resources or equivalent hands-on career experience 
  • Minimum 4 years of experience in payroll and benefits administration within a complex organizational environment
  • Proven experience managing payroll and benefits processes across multiple employee groups, provinces, or business functions
  • Strong understanding of payroll operations, benefits administration, and compliance requirements in a fast-paced environment
  • Payroll Compliance Professional (PCP) designation is preferred
  • Strong proficiency with HRIS (Ceridian – Dayforce), payroll systems, and Microsoft Excel, including reporting and data analysis capabilities
  • Strong knowledge of current HR legislation, regulations, and HR best practices
  • Up-to-date understanding of payroll taxes, payroll legislation, and statutory deductions
  • Ability to ensure compliance with Federal and Provincial employment standards and labour laws
  • Proven ability to interpret and apply employment legislation in day-to-day HR and payroll practices
  • Strong attention to detail and commitment to maintaining compliance and accuracy
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong interpersonal and communication skills with a customer-service mindset
  • Proven ability to maintain confidentiality and exercise sound judgment
  • Collaborative, adaptable, and solutions-oriented approach
  • Demonstrated ability to learn new systems and improve processes
  • Previous experience in a not-for-profit organization is considered an asset
  • Demonstrate curiosity and a growth mindset, embracing and championing change
  • Bilingualism in French & English (spoken & written) is an asset
