In Japan, Second Foundation operates as an aggregator and developer in the electricity market, with a particular focus on battery energy storage systems (BESS), dispatch optimization, and market trading - further strengthening our global commitment to advancing the future of energy.

We are now looking for an Office Manager to play a vital role in supporting our team’s well-being, enhancing the workplace experience, and ensuring seamless day-to-day operations at our Tokyo office.

What would you work on?

  • Managing day-to-day operations of the office, ensuring smooth and efficient functioning.
  • Overseeing office supplies, equipment, and maintenance to maintain a well-equipped workspace.
  • Ensuring compliance with health and safety regulations and maintaining a clean, safe office environment.
  • Handling partial facility management by addressing smaller technical issues and liaising with building administration.
  • Scheduling and coordinating appointments, meetings, and staff calendars.
  • Organizing domestic and international travel, including flights, hotels, and car rentals.
  • Acting as interface with external vendors, landlords, outsourced accounting & payroll team
  • Supporting recruitment efforts, including coordinating interviews and onboarding new employees.
  • Collaborate with the HR, Finance and Marketing teams with back-office tasks.
  • Assisting expat employees with relocation, registrations, and integration into local networks.
  • Planning and managing company events to foster team spirit.
  • Proposing and implementing innovative ideas to keep the office modern and unique.

What makes you a great candidate?

  • Previous experience as an Office Manager, Administrative Assistant, Operations Coordinator, or in a similar role.
  • Hands-on attitude with willingness to support both everyday office tasks and larger office projects.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Practical problem-solving skills and strong attention to detail.
  • Good communication and interpersonal skills.
  • Comfortable using MS Office and common workplace tools.
  • Proactive nature with the ability to work independently and take initiative.
  • Familiarity with office equipment and basic maintenance tasks.
  • Advanced written and verbal communication skills in both Japanese and English.
  • Reliable, flexible, and comfortable working in a fast-paced environment.
