Role Overview

Lean In's programs reach thousands of partners, volunteer leaders, and community members around the world. The internal systems behind them - our CRM, our automations, our data - have historically lived across multiple teams. We're consolidating them into one role, and we're hiring the person who will own them.

 

As Manager, Programs Operations, you'll own the systems infrastructure that powers Lean In's programs and partnerships work - our CRM first and foremost, along with the event platform, vendor relationships, and the automations and integrations that connect them. You'll set the governance standards that keep the systems clean, and maintain them as the program scales. You'll report to the VP of Programs, with a dotted line to the SVP of Operations, and you'll partner closely with both teams to make sure our systems serve the work effectively.
 
Your primary mandate is owning the system's infrastructure. You'll also own a set of operational processes that run on top of those systems -  things like volunteer leader reimbursements, member support, and swag fulfillment - with the expectation that you'll automate and improve them over time. We're a lean team, and this role reflects that: you'll do the strategic systems work and the operational work that runs on top of it, with the goal of making the operational work lighter as the systems get smarter.
 
 
### What You'll Do
Programs serve three distinct audiences at Lean In: the companies and nonprofits that partner with us, the volunteer leaders who run local Lean In groups around the world, and the individuals who participate in our programs. You'll own the systems that support all three — our CRM (HubSpot), our event platform operations, and the automations and communications that connect them. You'll also own the operational work that supports our partners and members directly, from handling member questions to processing reimbursements for our volunteer leaders. The community platform itself is owned by a dedicated team member; you'll partner with them and with Product on the integrations between systems. 
 
The systems and infrastructure
  • Set and enforce data governance standards across Programs and Partnerships, in partnership with the Director of Operations and VP of Programs.
  • Own HubSpot end-to-end as our system of record — architecture, data model, and day-to-day administration.
  • Own the partnerships pipeline infrastructure: deal stages, properties, reporting, and the automations that move partners from prospect to active engagement.
  • Design workflows that support onboarding, engagement, and retention across all three audiences.
  • Build and optimize automated communication journeys in HubSpot — lifecycle emails, triggered workflows, and drip sequences.
  • Own the segmentation, list hygiene, and deliverability infrastructure for community-facing email.
  • Own the operational infrastructure for events: Zoom, registration, attendance tracking, and follow-up automations, in partnership with program owners.
  • Partner with Product on the data integration between HubSpot and our community platform.
  • Build dashboards and reports that give leadership real-time visibility into program health, partner activity, and community engagement

    The operational work that runs on top of them
    • Manage community service inboxes across all programs — defining escalation logic, maintaining the AI flows that handle routine requests, and responding when those flows can't.
    • Serve as the operational backstop for member questions and account-level admin changes, partnering with the community platform lead when systems changes are needed.
    • Manage swag fulfillment - stock, conference shipments, and partner and community gifts.
    • Own the reimbursement process for our volunteer leaders, improving the workflow as the program scales.

      You'll also use AI to scale the team's capacity — identifying and deploying automations that eliminate manual work, building a practical library of workflows and prompts the team can use day-to-day, and helping colleagues adopt new tools as they roll out. AI is how we work, not a separate function.
### Requirements
  • 4-6 years in operations, revenue operations, or systems-focused program roles, with clear ownership of CRM infrastructure in at least one prior role

  • HubSpot admin-level expertise (or comparable CRM experience with willingness to go deep on HubSpot): workflow automation, pipeline configuration, custom properties, segmentation, and reporting built from scratch

  • Proven ownership of data integrity end-to-end — clean records, reliable reporting, and the judgment to push back when requests would compromise either

  • Strong project management instincts — able to hold multiple workstreams at once, set clear milestones, and drive toward completion without heavy oversightStrong project management instincts — able to hold multiple workstreams at once, set clear milestones, and drive toward completion without heavy oversight

  • Hands-on experience with automation tools (Zapier, Make, or similar) and working fluency with LLMs for practical workflow applications

  • A systems thinker who designs infrastructure rather than workarounds, and who can explain technical decisions to non-technical stakeholders

    • Clear, warm communicator — comfortable writing a process doc, explaining a data model to a program lead, and saying "no, here's why" when a request would break the system

### Location

This role is based in San Francisco with a hybrid schedule -- three days in the office per week (currently Monday, Tuesday, and Thursday), with remote flexibility otherwise. In-office work begins in September 2026.
