CFS Solutions (A Banyan Software Portfolio) is a fintech company headquartered in Tallahassee, FL, providing ATM/ITM deposit automation, check imaging, and payment processing software to community banks and credit unions through a network of resellers. Operating in a compliance-driven environment (SOC 1, SOC 2 Type 2, PCI), CFS is focused on modernization and scalable growth built on three decades of banking expertise.

About the Role

We are seeking a Senior Manager, Operations to build and oversee scalable support, compliance, and people-operations systems reporting directly to the CEO. This is a hands-on, strategic role that owns cross-functional workflows, administers core tools (HubSpot CRM, Vanta, Jira), and brings structure to a 13–14-person team. The ideal candidate translates strategic goals into execution, manages the support and admin teams day-to-day, and acts as a thought partner to the CEO on operational priorities and risk.

The Role

Strategic Operations

  • Partner with the CEO on operational planning, translating strategic goals into measurable roadmaps and identifying risks before they become urgent.
  • Build and maintain an operational scorecard; make build-vs-buy and tooling investment recommendations grounded in cost, risk, and impact.

Team & Support Operations

  • Manage day-to-day operations of support and admin teams, ensuring projects are complete on schedule and blockers are resolved quickly.
  • Design structured support processes, triage inbound tasks, assign ownership, and serve as internal project manager for high-priority requests.

Compliance Leadership

  • Lead SOC 1, SOC 2 Type 2, and PCI compliance processes; administer Vanta for evidence collection, policy attestation, and audit preparation.
  • Partner with Compliance Lead on control evidence and audit response; stay current on banking regulations affecting operational readiness.

Operational Infrastructure & CRM

  • Administer and improve HubSpot CRM including workflow automation, custom objects, pipeline hygiene, and reporting; maintain HubSpot-NetSuite integration.
  • Document SOPs across functions and partner with the Business Systems Engineer to scope and deliver automation solutions.

People’s Operations & Product Coordination

  • Own onboarding and offboarding execution; coordinate with Parent Company HR on background checks, policy attestations, and employment matters.
  • Coordinate product operations across Engineering, Support, and Customer Success including release readiness and Jira administration.

Qualifications for Success

  • 5+ years in operations, project management, or business systems in a B2B, SaaS, or tech-enabled services company.
  • 3-5 years of direct people management experience in operations.
  • Hands-on HubSpot CRM administration required: workflow automation, custom objects, and reporting.
  • Compliance expertise required: SOC 1, SOC 2 Type 2, and PCI; Vanta or similar platform experience is a strong plus.
  • Demonstrated ability to design operational systems from scratch in a scaling business.
  • Familiarity with Jira or equivalent; Scrum or Agile experience preferred.
  • Excellent written and verbal communication skills with the ability to influence up and across the organization.
  • Exposure to banking, credit union, or regulated financial environments is a plus.

Compensation

Base Salary: $100,000 USD Bonus: Up to 10% discretionary Location: Remote, United States
