User Access Coordinator

Summary / Objective

We're looking for a highly organized, reliable coordinator to manage access requests and keep things moving. This role is not technical — it's about tracking requests, communicating clearly, and following up consistently to make sure nothing falls through the cracks. If you're detail-oriented, persistent, and good at keeping things organized, you'll do well here.

Essential Functions

  • Track and manage a high volume of requests using a shared tracking system
  • Send and respond to emails to request information and follow up on outstanding items
  • Monitor open requests and follow up regularly until they are completed
  • Keep all tracking data accurate and up to date
  • Identify delays and flag issues that need escalation
  • Use templates and standard processes to keep communication consistent

Work Schedule & Location

  • This position is on-site in Brentwood, Tennessee
  • Standard schedule is Monday through Friday, 9:00 AM – 6:00 PM
  • We are a 24x7x365 business and rotational after-hours support may be required

What success looks like in this role: requests are tracked accurately and updated in real time, follow-ups happen without needing reminders, very few requests are missed or delayed unnecessarily, and overall turnaround time improves because requests are actively managed.

Requirements

Required:

  • Strong attention to detail
  • Comfortable working in structured tracking tools (Excel or similar)
  • Clear, professional written communication
  • Ability to stay organized across many open items
  • Consistent follow-through and reliability

Nice to Have:

  • Experience in an administrative, coordinator, or support role
  • Experience working with external partners or clients
