Rocketship Public Schools is hiring a School Operations Manager (SOM) to oversee the essential operational functions of our school, ensuring a safe, efficient, and high-functioning learning environment for students, staff, and families. This role requires a strategic thinker who excels in logistics, team management, and problem-solving. The SOM plays a key leadership role in managing school-wide systems, supporting student and family engagement, overseeing compliance and safety procedures, and ensuring that daily operations run smoothly. The SOM is the first point of contact for parents and students when they come to school, as well as a resource to the school community and should always exhibit professionalism, treat people with respect, and be firm but compassionate in how they address the day-to-day challenges of a rigorous and purposeful school.
SOMs are multi-talented leaders who build systems, oversee procurement and facilities maintenance, and uphold a consistent school culture that enables instructional staff to focus on teaching and learning. The SOM reports directly to the Principal and manages a team of Operations Specialists.
### Essential Functions
The essential functions of this position include, but are not limited to the following:
Schoolwide Systems & Culture (Enrollment, Student Information, and Attendance)
Manage the year round Enrollment Process including Recruitment, Enrollment and Retention
Manage and maintain complete and current student cumulative files, including medical, immunization, address verifications, and contact information for all students
Enter student information into our student information system and keep this information updated
Act as intermediary to communicate written or oral information given by parents to the ISE team while maintaining confidentiality
Ensure that all documents delivered or messages received are immediately given to ISE
Manage the Attendance process and compliance including truancy, chronic absenteeism and Independent Study for students with planned absences
Work with current parents to solve problems and prevent student attrition
Family Engagement
Establish family engagement procedures and protocols to build strong relationships with families
Collaborate with school leadership to promote high family participation in events, meetings, and engagement opportunities
Partner with families to remove barriers to attendance, enrollment, and student services, ensuring equitable access for all
Uphold Rocketship’s values by modeling inclusive, asset-based approaches to working with our diverse community
Actively listen to parent concerns and feedback, and help escalate or resolve issues in a timely, compassionate manner
Health, Safety and Discipline
Maintain emergency medical, custody and contact information for all students
Maintain complete and current immunization records for all students
Administer first aid, distribute medication, maintain injury reports
Be knowledgeable of all content in school safety binder, including emergency procedures
Report all injuries and other school incidents to Human Resources
Manage Student Incident and Suspension Reporting
Supervise students sent to the office for discipline and health reasons
Administrative
Facilitate arrangements for school activities, logistics, teacher development, parent development and other activities
Provide support to the Principal and teachers, as necessary.
Use automated systems to send out school information and translate documents as necessary
Act as an interpreter, when necessary, in whole-school functions and smaller meetings
Leadership & Management
Hire, manage, and evaluate all hourly school Operations Specialists. Drive Operations Specialist satisfaction and development through active investment in your team. This includes coaching your team as a part of their development
Be a collaborative and supportive partner on your school’s leadership team and the national Business Operations Manager and Office Manager teams.
Compliance, Safety, and Facilities Management
Own the logistics, staffing, and daily management of arrival, lunch, recess, and dismissal at your campus; ensuring joy and safety exude in all systems!
Manage all facilities-related needs, including school events logistics, scheduling/meeting vendors and handling after-hours facilities emergencies.
Manage food service operations, including meal service compliance, managing staff, serving as the main contact with meal vendor, ensuring compliance, conducting internal audits, and ensuring meal program financial health.
Maintain and enforce school safety protocols, conduct emergency drills, and oversee compliance with all safety regulations.
Oversee facilities maintenance, including coordinating with vendors and handling emergency facility issues.
Maintain I-9 compliance by physical examination of federal required I-9 documentation of new hires.
Finance, Procurement, and Administrative Support
Manage financial operations, including budget oversight, purchasing, and invoice processing.
CA Only: Own free/reduced-price lunch application process, including validating forms and running income verification process.
Own procurement and purchasing for the school site. Work with the Principal to understand needs, place orders, inventory items received, handle returns/exchanges, etc.
Support the Principal with finance-related matters and ensure adherence to budget guidelines.
### Required Qualifications
Minimum of 5 years of relevant experience, preferably in a school-based setting.
Knowledge and cultural competence of the local student and parent community
Experience managing teams and coaching adults.
Strong problem-solving and organizational skills with the ability to manage multiple projects in a fast-paced environment.
Comfort in a start-up environment and ability to work independently with minimal direction
Proficiency in technology, including spreadsheets and the Google Suite, with the ability to learn new software quickly.
Excellent interpersonal skills with a strong customer service orientation and the ability to build trusting relationships with families, staff, and students.
Spanish/English bilingual fluency required, with excellent written and oral communication skills
