Job Title: Executive Assistant

Location: South Africa

Job Type: Full-Time, Remote

Working Hours: US Hours (9am-5pm EST)

Salary: South African Rand (ZAR)

A professional and detail-oriented Executive Assistant is sought to support business operations and relationship management within the architectural lighting industry. The successful candidate will be responsible for communicating with clients and manufacturers, maintaining business relationships, supporting administrative processes, and assisting with operational coordination. The ideal candidate possesses strong communication skills, organizational abilities, and a technical understanding of architectural lighting products.

Key Responsibilities

  • Reach out to clients and manufacturers to build and maintain professional business relationships
  • Support communication and coordination within the architectural lighting industry
  • Manage administrative tasks, scheduling, and correspondence
  • Maintain accurate records, spreadsheets, and documentation
  • Assist with data entry, reporting, and operational support tasks
  • Coordinate follow-ups with clients, vendors, and manufacturers
  • Support invoicing, tracking, and administrative processes using QuickBooks
  • Organize and prioritize multiple tasks while meeting deadlines
  • Communicate professionally via email and other business platforms
  • Support executives with day-to-day operational and administrative needs

Requirements

  • Bachelor’s degree (BA/BS) highly preferred
  • Strong communication and interpersonal skills required
  • Proficiency in Microsoft Excel required
  • Basic QuickBooks experience required
  • Experience using Gmail required
  • Technical understanding of architectural lighting products required
  • Strong organizational and multitasking abilities required
  • Ability to work independently in a remote environment
  • Strong attention to detail and problem-solving skills
  • Experience supporting executives, operations, or client coordination preferred
  • Reliable internet connection and a suitable home office setup
  • Experience using the following systems/platforms required: Excel, QuickBooks, and Gmail
